No matter where you're located—on campus or online—you are part of a mission that transforms lives and makes a difference across the state of Texas and beyond The CRM Specialist for Enrollment Communications at Tarleton State University supports the university’s recruitment and enrollment goals by developing, managing, and optimizing communication workflows, digital marketing campaigns, and reporting within Salesforce CRM and Marketing Cloud. Reporting to the Director of Enrollment Communications and working closely with the Recruitment CRM Specialist, this role focuses on maintaining data accuracy, executing and improving email and digital campaigns, supporting event communication processes, and producing meaningful analytics and reports for Enrollment Management. Serves as a Campus Security Authority (CSA). This is a remote position, with occasional travel to campus required. General working hours are Monday- Friday; 8:00 AM-5:00 PM, with flexibility as needed to meet project demands.

Requirements

  • Bachelor’s degree in an applicable field or an equivalent combination of education and experience.
  • Four years of administrative experience, including one year of experience in CRM systems or higher education, preferably in enrollment management.
  • Analytical Skills: Advanced abilities in data analysis, reporting, and the use of analytics to drive recruitment strategies.
  • Communication: Excellent verbal and written communication skills, capable of conveying complex information to assorted audiences.
  • Curious Learner: A continuous learner eager to stay current with industry trends, explore new tools and technologies, and apply innovative solutions to recruitment challenges.
  • Strong Work Ethic: Ability to work independently, prioritize tasks, and take initiative in a rapidly evolving environment.
  • Technical Proficiency: Experience with Salesforce CRM, Marketing Cloud, Ellucian Banner, Capture Higher Ed, SMS-Magic, data management tools like Form Assembly and Demand Tools, and event management platforms.
  • Regulatory Knowledge: Understanding of CAN-SPAM, GDPR, and other email compliance regulations.
  • Organizational Skills: Exceptional organizational abilities, with a focus on detail and efficiency.
  • Collaboration: Proven ability to work effectively within cross-functional teams and manage projects with multiple stakeholders.
  • Demonstrated ability to perform job duties without direct supervision when remote work is authorized under SB 2615 exceptions
  • Ability to transition between on-site and approved remote work arrangements while maintaining compliance with state law.
  • Ability to ensure adherence to telework agreements, performance metrics, and security protocols.

Responsibilities

  • Facilitates comprehensive training sessions for CRM and Marketing Cloud users in virtual and in-person formats.
  • Updates training materials, policies, and procedures to reflect best practices, new features, and system enhancements.
  • Provides on-demand user support and maintains a knowledge base documenting current CRM and communication workflows.
  • Stays current on CRM, marketing technology, and higher-education enrollment trends to continually improve processes.
  • Develops, executes, and optimizes email and digital marketing campaigns to support recruitment, yield, and retention goals.
  • Manages campaign reporting, including dashboards, custom reporting for Enrollment Management leadership, and insight delivery to inform strategy.
  • Manages email deliverability, list segmentation, dynamic content, and compliance with relevant communication regulations.
  • Conducts A/B testing and analyzes engagement trends to refine messaging, timing, and target audiences.
  • Supports event communication workflows in the CRM, including building events in the CRM and managing forms.
  • Supports event setup, tracking, and communication processes within the CRM to ensure accurate data capture and reporting.
  • Partners with campus stakeholders to ensure event data and post-event interactions are aligned with recruitment and communication strategies.
  • Develops event dashboards and summary reports to evaluate event performance and its impact on enrollment outcomes.
  • Builds, customizes, and maintains dashboards and detailed reports for Admissions, Orientation, Financial Aid, and Enrollment Management teams.
  • Provides analysis on campaign performance, inquiry behavior, event conversion, and funnel movement to guide recruitment communications.
  • Coordinates data gathering, trend analysis, segmentation, and predictive-modeling support to strengthen enrollment insights.
  • Monitors Marketing Cloud reporting and analytics to identify opportunities for campaign optimization and improved automation performance.
  • Troubleshoots data and reporting issues while partnering with IT and CRM support teams to ensure accuracy and consistency across systems.
  • Administers and configures Salesforce CRM and Marketing Cloud components to support enrollment communications, event workflows, and recruitment processes.
  • Ensures data accuracy through routine audits, data cleansing, and monitoring of database hygiene.
  • Manages third-party data integrations, ensuring timely and accurate data flow from testing agencies, search vendors, form providers, and engagement tools.
  • Designs and maintains documentation for data processes and integrations to support communication, automation, and reporting needs.
  • Serves as a liaison between Enrollment Management, IT, Marketing, and CRM Support teams to align communication workflows and recruitment objectives.
  • Leads and contributes to CRM enhancement projects, marketing automation improvements, and cross-unit enrollment initiatives.
  • Manages multiple priorities and projects simultaneously while ensuring timelines, data quality, and project goals are met.
  • Contributes to the development of new CRM functionalities, communication tools, and long-term strategic enrollment planning.
