About The Position

Position Summary The Cross-Functional Practice Assistant provides comprehensive administrative, and medical records services to the Practice. This position supports providers, supervisors, staff, and patients by ensuring efficient patient flow, accurate medical record management, and scheduling coordination. The role reports to the designated Practice or Department Supervisor. In summary, this combined role functions as a versatile Practice Assistant responsible for front-office operations, medical records management, and scheduling ensuring smooth daily operations and a positive patient experience across multiple departments.

Requirements

  • Basic typing, keyboarding, and computer proficiency
  • Knowledge of medical terminology

  • High school diploma or equivalent
  • Basic computer skills
  • Working knowledge of medical terminology

Responsibilities

  • Greet patients in a friendly and professional manner and assist with clinic navigation
  • Check patients in and out, verify demographics, insurance information, and referring providers
  • Schedule, reschedule, and confirm patient appointments, including managing cancellations and no-shows
  • Answer, route, and document telephone calls and electronic tasks appropriately
  • Process medical record requests, including printing encounter forms and verifying DPAs
  • Obtain outside medical records by contacting hospitals, urgent care centers, and physician offices
  • Scan and index incoming records into the electronic medical record accurately
  • Transfer clinical documentation between systems and reconcile schedules across platforms
  • Assist with disability forms, and return-to-work documentation
  • Process incoming and outgoing faxes and correspondence
  • Maintain patient confidentiality and strict adherence to HIPAA regulations
  • Keep reception, workstations neat and organized, following food and beverage policies
  • Provide consistent, professional customer service to patients, providers, staff, and external partners
  • Perform other duties as assigned to support practice operations
