Purpose: The Data Specialist is responsible for collecting, entering, and validating data to ensure accuracy, completeness, and compliance with regulatory standards. This role works closely with internal and external partners to maintain high‑quality, audit‑ready information across multiple databases and systems.

Responsibilities

  • Serve as a resource for regulatory information and departmental data requirements.
  • Document and maintain standard operating procedures for the department.
  • Participate in internal trainings, external workshops, and professional development opportunities.
  • Accurately gather, enter, and update data from various sources, including patient lab results faxed from clinical staff.
  • Enter monthly clinical information in EPIC, such as patient surgical histories.
  • Update and maintain database records as information changes.
  • Run weekly and monthly QC reports to ensure ongoing data accuracy.
  • Perform quality control checks on databases and patient information.
  • Ensure confirmation, audit, and regulatory reports are completed and submitted on time.
  • Protect the integrity and confidentiality of all data through established QC processes and secure storage measures.
  • Set up, organize, and maintain manual and electronic filing systems, including confidential records, in accordance with departmental requirements.
  • Retrieve and customize reports from databases and filing systems as needed.
  • Coordinate and verify service‑related information to ensure that up‑to-date documentation is always on file.
  • Complete data requests from physicians and external organizations using REDCap and other tools.
  • Assist the clinical research coordinator with data entry, including downloading monthly QC reports.
  • Support ongoing research projects by preparing data, summarizing findings, updating procedure manuals, and reviewing department activities.
  • Potential to speak with patients in clinic to obtain research consents.
