Accurate, secure Front Desk Data Entry & Transition Assistance Program (TAP) Administrative Support for the Military & Family Readiness Center (M&FRC) through services delivering efficient data entry and seamless transition assistance for military families: M&FRC Customer Service & Program Administration | Front Desk Operations | TAP Program Support | Records & Data Management | Office Automation Support. Provide front desk customer service and TAP administrative/data-entry support for the USAF Military & Family Readiness Center (M&FRC) at Minot AFB, ensuring accurate AFFIRST/TAP ACCESS recordkeeping, scheduling, correspondence, and compliant records management in accordance with AFI-36-3009, AFI 33-322, and local guidance.

Requirements

  • 1–3 years administrative support, front desk, customer service, and/or data entry experience.
  • 6–12 months experience supporting a customer-facing office with scheduling, correspondence, and records.
  • Minimum: High School Diploma or GED.
  • Ability to obtain/maintain network access via TASS (includes background check and required training).
  • Ability to obtain base vehicle pass and comply with Minot AFB security/safety requirements.
  • Ability to work with sensitive information; follow Privacy Act/FOIA considerations for records.
  • Microsoft Office proficiency (Word, Excel, Outlook); working knowledge of Access.
  • Data entry accuracy; spreadsheet/database maintenance and report generation.
  • Grammar, spelling, punctuation, capitalization, and document formatting.
  • Records and file manage
  • Attention to detail and quality control (data accuracy, document review).

Responsibilities

  • Receive telephone calls and greet visitors; determine needs and route to appropriate staff.
  • Provide nontechnical program information on M&FRC services and TAP-related offerings using tact and courtesy.
  • Ensure customers complete required forms (e.g., Statement of Understanding) and maintain customer flow.
  • Maintain M&FRC Outlook appointment calendar; schedule TAP workshops and counseling sessions.
  • Track participant attendance, sign-in rosters, and suspense dates; follow up on routine requests.
  • Perform data entry and updates in AFFIRST and TAP ACCESS (and related trackers) to maintain customer records.
  • Create/revise spreadsheets and reports; sort, calculate, and retrieve data for routine reporting.
  • Prepare recurring and nonrecurring correspondence, reports, memos, letters, and forms.
  • Proofread/edit for grammar, spelling, punctuation, capitalization, and format.
  • Consolidate and finalize information from files/systems for reports per established procedures.
  • Review and process incoming/outgoing correspondence and electronic messages; establish suspense dates.
  • Screen mail/messages for action, referral, reroute, or handling; download/distribute forms/publications.
  • Establish, maintain, purge, and dispose of records/files IAW AFI 33-322 and Air Force Records Disposition Schedule.
  • Maintain file plans; post publications/technical orders; control reference materials and check-out.
  • Turn over government-owned records upon contract completion; ensure awareness of FOIA/Privacy Act.
  • Use multiple office automation applications to produce documents, charts, and presentations.
  • Assist with developing training aids and provide hands-on training; perform basic troubleshooting.
  • May create elementary macros to streamline tasks and instruct others on their use.
  • Safeguard government property; secure facilities/equipment at close of business; follow physical security rules.
  • Comply with Minot AFB access requirements (TASS/network access, background check, base passes).
  • Support the Transition Assistance Program (TAP) through scheduling and participant tracking
  • Maintain accurate electronic and paper records
  • Serve as the first point of contact for service members and family members
  • Support reporting and compliance requirements
  • Greet and assist clients at the M&FRC front desk
  • Perform data entry into TAP and Air Force systems
  • Schedule TAP workshops and individual counseling sessions
  • Maintain sign-in logs, attendance records, and case files
  • Answer phones and route inquiries appropriately
  • Prepare routine correspondence and reports
  • Ensure privacy and confidentiality of client information
