About The Position

The Dedicated Planning Operations Coordinator plays a key role in helping us deliver an exceptional and meaningful advice experience to our clients. Think of this role as both a behind-the-scenes engine and a friendly face clients can rely on—keeping things running smoothly while building strong relationships along the way. In this role, you’ll collaborate closely with team members while also interacting directly with clients to support their planning journey. Responsibilities include overseeing important processes, preparing financial plans, conducting investment research and analysis, and coordinating client service needs to ensure every client experience is thoughtful, organized, and seamless. The Dedicated Planning Operations Coordinator is employed by Journey Financial Consultants. Employment by the founding advisors of the JFC team This is a full-time position with benefits such as Life, Long Term Disability and Paid Leave Hourly rate and overall position will be reviewed per offer letter - compensation range is $65,000-$75,000 annually. This position will either be fully in office at the New Brighton, MN location or hybrid - 3 days a week in office.

Requirements

  • Previous administrative/secretarial experience desired
  • 3+ years industry experience required
  • Certified Financial Planner or Chartered Financial Analyst designation required
  • Securities (6/63, 7/66, or 7/63 & 65) and Life, Health, and Annuity registration required
  • Bachelor’s degree in Financial Planning, Finance, Accounting or Economics preferred
  • Extremely strong organizational skills
  • Strong communication and interpersonal skills
  • Technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint, Salesforce) or ability to learn
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions

  • This position will consistently follow high standards of business and professional ethics, legal and regulatory requirements and company policies when dealing with others and/or performing work activities.
  • This is a licensed role with potential for advancement upon future training, licensing or advanced designations.
  • As part of Journey Financial Consultant’s recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process.
  • In addition, fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
  • All persons with access to Wealthscape are deemed Access Persons and are subject to Compliance with the firm’s Code of Ethics which requires all outside brokerage accounts to be maintained at one of the firms designated by TIMI.

Responsibilities

  • Oversee workflows and coordinate job responsibilities of dedicated planning department team members
  • Collaborate with team members on client cases
  • Enter client information into various systems
  • Prepare and update financial plans and presentation material for client meetings
  • Enter information into financial planning software and prepare draft financial plans
  • Deepen existing client relationships through processing of client requests, resolving client questions, and making sure client information and documentation are up to date
  • Research and respond to client inquiries
  • Finalize, submit, and track all client account and application paperwork
  • Gather and maintain customer suitability information
  • Research and analyze investment and portfolio allocations
  • Assist in generating performance reports
  • Maintain information in CRM (Salesforce) system
  • Fill out necessary forms for opening and maintaining accounts
  • Handle requests for transfers of funds in and out of accounts
  • Identify and offer recommendations on how to optimize workflows
  • Other responsibilities as assigned
