Requirements

  • High School diploma with additional courses in Office Technology required.
  • Two years general office experience in a high volume office setting, working with internal and external customers required.
  • Attention to detail required.
  • Ability to work autonomously with limited supervision required.
  • Must be self-motivated and show initiative required.
  • Ability to multi-task with frequent interruptions required.
  • Excellent communication skills required.
  • Proficient in written and spoken English required.
  • Valid Illinois driver's license is required.
  • This position requires a background check.

Nice To Haves

  • AAS in Office Management, Business, Office Technology, or Computerized Data preferred.
  • Three years office administration in a business development agency or small business management capacity and excellent organizational skills preferred.

Responsibilities

  • Support the Business Development Center Manager and program staff with administrative duties necessary for the operations of the center from finalizing client registrations to processing payments for training sessions and vendors.
  • Act as liaison for all Business Development Center staff and clients, providing the technical understanding of the operation of the center to route inquiries appropriately and provide needed insight of resources including specialized databases available.
  • Act as primary liaison with the Village of Glen Ellyn staff and the Business Development Center to include receiving and distributing mail and to update lobby screen and distribute information to key personnel.
  • Compile data and develop required reports according to grant funder requirements.
  • Submit all required records as identified by the staff for State compliance.
  • Create and modify, as needed training materials including sign in tracking, and required grant reports for training activities.
  • Act as primary contact with responsibility for the Business Development Center, Small Business Development Center Program, International Trade Center Program and the Procurement Technical Assistance Center Program, both internally and externally.
  • Create monthly newsletter, seminar/workshop and conference marketing collateral, and the distribution to media outlets, internal College contacts, client base, websites, and granting agency management information system.
  • Create and process payment requests through contracts, purchase orders and invoices in the College of DuPage Mercury System.
  • Register and finalize all registrations online or in-person and provide information to clients about the services available from the Business Development Center three programs: Small Business Development Center, Procurement Technical Assistance Center and the International Trade Center.
  • Initiate and process, per college financial policy, training payments and refunds.
  • Develop content and maintain the Business Development Center website which has multiple pages to include the Small Business Development Center (SBDC), International Trade Center (ITC) and the Procurement Technical Assistance Center (PTAC).
  • Responsible for the Business Development Center online training calendar within the college system and the state grant required system, Neoserra eCenter Direct.
  • Coordinate and assist in monitoring of all Program Manager calendars to schedule appointments, seminars and events accordingly.
  • Responsible for processing all required paperwork to secure needed resources for training and conferences held by the Business Development Center, Small Business Development Center, Procurement Technical Assistance Center or the International Trade Center.
  • Coordinate administrative support tasks and maintain professional appearance of the Business Development Center general offices including the Reference area and maintain the office procedures manual for all staff usage.
  • Other related duties as assigned.
