About The Position

The Employee Health Department Assistant supports the Employee Health team by coordinating administrative processes, maintaining employee health records, and assisting with onboarding, compliance, and wellness activities. This role helps ensure employees meet health and safety requirements while supporting a smooth and efficient experience for staff across the organization.

Requirements

  • High school diploma or equivalent required; business or administrative coursework preferred
  • Previous office or administrative experience
  • Experience in healthcare, HR, or employee services
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Ability to manage confidential information (HIPAA compliance)
  • Strong communication and customer service skills
  • Proficiency in computer systems and data entry
  • Ability to prioritize tasks and meet deadlines
  • Ability to work independently and as part of a team

Responsibilities

  • Provide administrative support to Employee Health staff and leadership
  • Maintain and update employee health records, ensuring accuracy and compliance
  • Assist with onboarding requirements such as immunizations, screenings, and documentation
  • Schedule employee health appointments and follow-ups
  • Support tracking of compliance requirements (e.g., vaccinations, TB testing, clearances)
  • Communicate with employees regarding requirements, appointments, and next steps
  • Assist with reporting, data entry, and record management
  • Coordinate meetings, maintain calendars, and support departmental projects
  • Respond to employee inquiries and route issues to appropriate staff
