About The Position

Must be a proficient typist and have exceptional word processing skills. Must demonstrate excellent telephone etiquette and be comfortable speaking with contractors multiple times per day. Responsible for ordering and maintaining supply inventory for office and construction department. Maintain time and attendance for Design & Construction, as well as time and attendance for the Construction Department. Maintain calendar for the Director of Design & Construction. Review monthly operating report for budget accuracy. Responsible for scheduling meeting times and locations. Responsible for processing contractor and supplier invoices. Essential Functions Answer telephones/transfer calls/take messages; Enter daily time & attendance & send biweekly time & attendance report to accounting & plant services; Order & Maintain office & personnel supplies by placing orders in Workday; Schedule monthly departmental meetings/training sessions Maintain gas refill & log; Process weekly Unifirst invoices for payment; Participates in orientation of new employees; Monitor MOR (Monthly Operating Report) to look for overages and report to Accounting to reclass; Maintain log of all operating purchases, keeping within monthly budget; Take notes for weekly Construction Meeting & Facilities Meeting as well as reminders to Director, Project Management staff and Supervisors.

Requirements

  • Must be a proficient typist and have exceptional word processing skills
  • Must demonstrate excellent telephone etiquette and be comfortable speaking with contractors multiple times per day
  • Intermediate computer skills
  • Ability to utilize internet, extranet and e-mails proficiently
  • Good communication skills, both orally & written
  • Good typing skills
  • Professional appearance, congenial and courteous
  • Valid driver’s license

Nice To Haves

  • Three (3) years of relevant experience performing secretarial type duties
  • Associates degree or certificate of completion in business related studies
