About The Position

Reporting to the Executive Director of Institutional Advancement and Alumni Engagement, the Development Coordinator plays a key role in supporting California Western School of Law’s advancement efforts. The position provides administrative, project management, event coordination, and donor data support, helping strengthen relationships that benefit all CWSL programs and clinics.

Requirements

  • Bachelor’s degree or equivalent preferred.
  • At least two years of progressively responsible experience in a high pace, deadline driven administrative support position preferred.
  • An equivalent combination of education and experience may be substituted.
  • Requires ability to work on weekends and some evenings.
  • Advanced experience using MS Word, Excel (V Look up preferred), PowerPoint, Outlook, Zoom and G Suite.
  • Knowledge and proficiency in donor database management is required Salesforce experience is preferred.
  • Experience in event planning, execution and follow-up is required.
  • Must possess knowledge of effective internet search properties.
  • Requires a strong commitment to providing exemplary service in a fast-paced, demanding environment.
  • Must be highly motivated, well organized, and self-directed, with strong interpersonal skills and the ability to manage multiple priorities independently with minimal supervision and professional judgment. Attention to detail and a degree of accuracy is crucial.

Responsibilities

  • Assist with organizing, coordinating, and disseminating communication to various internal and external contacts.
  • Prepare briefings and agendas for donor and prospect visits to support development team and senior leadership.
  • Provide board meeting support as needed which may include scheduling and arranging meetings, creating agendas, providing materials for meetings, ordering catering, etc.
  • Maintain donor wall and donor honor roll.
  • Manage inquiries and requests from donors, alumni, and prospects and troubleshoot issues in collaboration with development team.
  • Manage and implement stewardship plan for all donors which includes preparing stewardship letters, notes, emails and manage distribution process for major and annual gifts.
  • In partnership with the Marketing Department, facilitate the creation of marketing materials such as flyers, one pagers, and donor impact stories.
  • Provide general administrative support to the Office of Philanthropy and Alumni Engagement including calendar management, mail distribution, answering telephones, and responding to emails.
  • Coordinate travel arrangements for the development team.
  • Provide business service support to the Office of Advancement including processing expenses, budget tracking, and ensuring the office follows business policies.
  • Proactively advise Executive Director of Institutional Advancement and Alumni Engagement of project status, potential issues, and overall departmental and developmental progress.
  • Process all gifts in donor database, as they are received, in accordance with best practices of CWSL’s Office of Philanthropy and Business Office protocols.
  • In collaboration with the Associate Director of Advancement, maintain accuracy and integrity of records in donor database and create new records as needed.
  • Research sources and enter gifts into donor database from cyber-grant portals and ACH deposits.
  • Prepare donor and prospect lists utilizing Salesforce and other criteria established by team members.
  • Reflect all donor and prospect activity in Salesforce including entering contact reports for meetings, emails, mailings, and calls.
  • Prepare donor gift reports as requested.
  • Prepare and mail/email donor acknowledgement letters along with thank you notes, emails, and appreciation gifts daily.
  • Coordinate the creation and disbursement of communications including newsletters, direct mail, reports, and other printed and electronic materials.
  • In partnership with the Events Manager, assist with the planning and coordination of special events including consulting with outside vendors and services, providing guest lists, sending pre and post event correspondence.
  • Work with appropriate level of assistance, instruction, and supervision.
  • Special projects and other duties as assigned.
