Remote or hybrid work is not available for this position. Candidates must be able to work on-site five days per week during designated work hours. Position Overview The Distribution Center is a high-volume payroll-processing center. The Distribution Support Specialist in the Distribution Center is responsible for accurately electronically processing and printing all payrolls submitted from clients on a daily basis within set deadlines and generally with a short turnaround time, as well as coordinate the activities and operation of the Distribution Center. Other responsibilities include printing payroll checks, reports/documents, and preparing payroll checks/documents for shipment and delivery. This position is critically important to the overall success of the organization. A high level of responsibility is placed upon our Support Specialist within the organization due to the severity of issues that can result from any processing errors. Audit procedures must be rigorously followed to ensure accurate payrolls are produced and delivered to our clients, and to avoid costly errors. The Distribution Support Specialist has to balance the workload of the entire department to ensure that overall department success is achieved on a daily basis. Proper timing of task completion is critical to ensure banking and delivery deadlines are met on a nightly basis.

  • Ability to sit for extended periods: The role requires sitting at a desk or workstation for long periods, typically 7-8 hours a day.
  • Use of computer and phone systems: The employee must be able to operate a computer, use phone systems, and type. This includes using multiple software programs and inquiries simultaneously.

Nice To Haves

  • Experience in a distribution center environment is preferred.
  • 1-2 years’ experience working in a production environment or payroll-related field preferred.
  • Experience with Microsoft Office Products, and Web Pay preferred.
  • Familiarity with Print and finishing equipment.

Responsibilities

  • Process client payroll files within defined timelines using all Paylocity systems. Processing of payrolls must occur within a short timeframe and with a quick turnaround.
  • Prioritize multiple activities simultaneously. There are multiple jobs that need to be completed on a daily basis for each client and understanding department and goals and deadlines while executing them is critical in this position.
  • Print all payroll checks and reports for each client processed.
  • Work closely with Tax, Banking, and other internal partners to ensure submitted payrolls are processed to meet banking and delivery cutoffs.
  • Ability to work cross-functionally to support clients
  • Monitor and close “Help Tickets” in the Salesforce system to quickly address any requests which impact the processing of payrolls. Ensure that any changes made to the original specifications from the client or internal departments are in accordance with company policies and procedures.
  • Monitor shipping exceptions for packages in route, and communicate changes in package status to internal Operations partners.
  • Research, document, and track resolution of errors received during payroll processing. Complete the final audit step in and ensure that the payroll is accurate. Attention to detail and reviewing of the payrolls processed is critical.
  • Research data specific to each client such as which type of check stock they utilize, delivery method for each client.
  • Establish a methodology and routine for proactively communicating tracking and service-related communication to internal and external partners on a daily basis.
  • Identifies and resolves delivery issues related to courier pick-up/delivery delays and/or internal issues.
  • Handle daily reconciliation procedures (Ensuring all payrolls submitted were processed without error, payrolls that produced errors were deleted, fixed and reprocessed, delivery reconciliation).
  • Work with teams within the organization to resolve processing and printing issues to ensure each payroll is fixed and produces accurate results.
  • Print manual checks for clients. Ensure that they are processed in accordance with the department standard operating procedures.
  • Monitor and react to the Salesforce system and email submissions for requests to change specifications of a submitted or pre-submitted payroll and on delivery updates or requests.
  • Ensure compliance with established processes and provide information/reports to Audit team when requested.
  • Research and complete miscellaneous requests submitted via Salesforce such as special delivery instructions.
  • Work with couriers to research and resolve delivery questions, and coordinates the processing through delivery of all same-day delivery requests.
  • Work within multiple systems concurrently on a regular basis.
  • Assist with special projects as needed.
  • Ability to work extended hours during heavy production or year-end projects. Make every effort to get to work, even during times of inclement weather or company functions where the rest of Paylocity is offsite or has been dismissed for the day.
  • Ability to work a flexible schedule, where start time and ending times could change. Full time - 5 days/40 hours per week.
  • Remain at work each shift until all the payroll audits have been cleared.
  • Work overtime as needed, especially during Peak season.
  • Performs all other duties as assigned.
