About The Position

The Oklahoma Conference of The United Methodist Church seeks a District Administrator to serve as a key administrative leader within the district office. This position acts as the primary liaison between local churches and the District/Conference, supporting clergy, laity, and church operations while maintaining accurate records and data. The District Administrator also serves as the District Statistician and reports directly to the District Superintendent.

Requirements

  • High school diploma required; additional education in office administration or related fields preferred.
  • Minimum of one year of QuickBooks experience preferred.
  • Previous experience managing executive schedules and providing customer service required.
  • Strong working knowledge of internal accounting controls.
  • Proficiency in Microsoft Office applications and ability to learn new software.
  • Excellent oral and written communication skills, including document editing and preparation.
  • Ability to work with a diverse group of people with professionalism and confidentiality.
  • Strong organizational, multitasking, and prioritization skills; ability to work under pressure.
  • Professional appearance and demeanor.

Responsibilities

  • Assist clergy, laity, churches, and members with questions or issues while maintaining strict confidentiality.
  • Serve as the primary point of contact at the district office, greeting and directing visitors, vendors, and volunteers.
  • Coordinate scheduling of meetings and events, including securing locations, arranging set up, ordering supplies, and sending invitations.
  • Interpret and collect church statistics; train clergy and laity on completing forms and entering data into the Brick River database, ensuring accuracy.
  • Process deeds and necessary paperwork for church closings, securing the property and removing UMC assets.
  • Collaborate with the DMST Chair and District Superintendent to prepare DMST meetings, including reviewing financials and creating presentations.
  • Support Lay Leader(s) and District Lay Servant Director in organizing and promoting bi-yearly Lay Servant Training and other district initiatives.
  • Prepare for charge conferences and annual conferences in coordination with the District Superintendent and Conference Ministry Center personnel.
  • Maintain the conference database for churches, clergy, and laity, and process clergy appointment paperwork.
  • Manage the district office calendar, process district payables, apportionment payments, and deposits, and ensure office supplies are maintained.
  • Write and administer grants for the district office as needed.
  • Assist the District Superintendent with presentations, budgets, and clergy compensation forms.
  • Support the records collection process for closed churches and perform other duties as assigned.
