This position is 202 days/8 hours a day The job of District Data Clerk - Special Programs is done for the purpose/s of providing requested clerical support to the special education department and assigned administrative personnel; communicating information to the staff, public and other internal or external agencies; providing information as may be requested concerning special education records or items while maintaining confidentiality of special education student records. This job reports to Director of Special Programs Essential Functions Assists in the preparation of IEPs (e.g. gathering/obtaining/organizing information, etc.) for the purpose of assisting the special education staff in conducting IEP meetings. Ensures accuracy of IEP files (electronic and original) and records including auditing file contents for the purpose of complying with State laws governing special education program. Maintains a variety of electronic student and department records and files, etc. for the purpose of providing up-to-date reference and audit trail for compliance. Oversees student special education records for the purpose of of ensuring confidentiality of record storage. Other Functions Assists in maintaining an accurate inventory of department supplies for the purpose of ensuring proper department functioning. Assists other personnel, as may be required, for the purpose of ensuring an efficient and effective work environment. Compiles and reviews special education student records for the purpose of complying with district, state, and/or federal district requirements governing special education programs. Coordinates various activities (e.g. IEP meetings, staff meetings, appointments, schedules, agendas, etc.) for the purpose of ensuring services are being delivered in compliance with district, state and federal requirements. Prepares written materials (e.g. correspondence, spreadsheets, schedules, agendas, reports, bulletins, charts, etc.) for the purpose of conveying information regarding special education program activities and procedures. Processes documents and materials (e.g. Special Education Census, auditing sheets, spreadsheets, mail, schedules, requests, etc.) for the purpose of disseminating information to appropriate parties and/or ensuring accuracy of data. Responds to inquiries from various internal and external parties (e.g. staff, parents, other educational institutions, public agencies, etc.) for the purpose of providing information and/or facilitating communication as needed. Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.
