We are seeking a highly organized and detail‑oriented Document Control Administrator to support our project team on a large-scale heavy civil construction project. This role is fully onsite at the project trailer and is essential to maintaining accurate records, managing construction documentation, and ensuring smooth communication across the project team. Requirements

  • Prior experience in construction document control, project administration, or related administrative roles preferred; experience in heavy civil construction is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Strong data entry skills with a high level of accuracy.
  • Excellent organizational skills with the ability to prioritize tasks and manage competing deadlines.
  • Strong communication skills and ability to work collaboratively with field and office personnel.
  • Ability to function in a fast-paced, ever‑changing work environment.
  • Ability to multitask while maintaining attention to detail.
  • Reliable, punctual, and comfortable working onsite in a project trailer environment.

Responsibilities

  • Manage, maintain, and distribute project documents.
  • Perform accurate and timely data entry for daily reports, logs, and project tracking tools.
  • Maintain electronic and physical filing systems to ensure all project documentation is current and easily accessible.
  • Maintain updated contact lists, project directories, and document registers.
  • Support project managers, engineers, and field staff with administrative and document control needs.
  • Ensure version control and proper document tracking procedures are followed.
  • Coordinate with subcontractors and vendors to collect and organize required documents.
  • Prepare meeting agendas, take meeting minutes, and distribute documentation as needed.
  • Perform general administrative tasks such as printing plans, scheduling, filing, and office organization.
