About The Position

Summary of Primary Functions: We are seeking a detail-oriented Document Control Specialist to support an on-site industrial installation project. This role is responsible for managing, organizing, and maintaining all project documentation to ensure accuracy, accessibility, and compliance with company and client requirements. The Document Control Specialist will work closely with project managers, engineers, contractors, and corporate staff to ensure that all project documentation is properly tracked, distributed, and stored throughout the life of the project.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree in business administration, project management, or related field preferred
  • 2+ years of experience in document control, administrative support, or project coordination
  • Strong organizational and document management skills
  • Excellent attention to detail and accuracy
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to manage multiple documents and deadlines in a fast-paced project environment
  • Strong communication and coordination skills
  • Experience with document control systems or project management software
  • Familiarity with engineering drawings, project submittals, and revision tracking
  • Experience supporting industrial installation or construction projects

Nice To Haves

  • Experience working on construction, engineering, manufacturing, or industrial projects preferred

Responsibilities

  • Maintain and manage all project documentation including drawings, specifications, reports, permits, and correspondence
  • Ensure documents are properly filed, version-controlled, and distributed to the appropriate project personnel
  • Track document revisions and maintain accurate records of updates and approvals
  • Coordinate the distribution of project documents to internal teams, clients, and subcontractors
  • Maintain digital and physical document filing systems for the project site
  • Ensure documentation complies with company standards, project requirements, and client specifications
  • Assist with document preparation, formatting, and submission when required
  • Track and log incoming and outgoing documentation
  • Support the project team by providing quick access to project records and documentation
  • Maintain document registers, logs, and tracking systems
  • Assist with compiling project reports and closeout documentation
  • Ensure confidentiality and security of sensitive project information
