The Document Controller is responsible for accurately track, log, and distribute releases of both internal and external documentation including metadata. This position is an Individual Contributor. The role directly reports to the Document Control Supervisor and routinely interacts with Engineering.

Requirements

  • H.S. Diploma/GED (Associates Preferred)
  • 3 - 5 years of Document Control Experience preferred

Responsibilities

  • Responsible for the control of classified and unclassified documents originating with the company.
  • Reviews documents to determine pre-established classification level based on contracts or security manual, distribution requirements and processes and distribution requests according to established procedures.
  • Coordinates the verification, approval, and processing of document revisions, and tracks document activity to ensure timeliness and process efficiency.
  • May be required to maintain a secure, computerized document revision system, a periodic review system, and status tracking for all process-related documents and records.
  • Responsible for archiving project records.
  • Indexes and distributes project documents in an accurate and timely manner.
  • Become familiar with pertinent aspects of the Contract and Project Information Management Requirements.
  • Responsible for implementing Project Document Retention requirements.
  • Prepares and issues defined project reports as required.
  • Participates in Project Documentation Audits.
  • Provides input in preparing Information Management Project Status Reports.
  • Reads and implements Project-Specific Information Management Procedures and Work Instructions.
  • Responsible for identifying Information Management issues or areas of improvement.
  • Understand requirements for handover and turnover in accordance with project contractual requirements.
  • Coordinates MOPEX office activities as required.
  • Other tasks as required
  • The Document Administrator will develop, maintain and track CB&I’s Construction Technology and Welding Technology technical standards that provide project and program guidance for CB&I operations globally.
  • Document Editing & Revision
  • Manage priorities and priority lists for document development and updates.
  • Review, edit, and update technical standards, specifications, and guidelines for clarity, accuracy, and compliance with quality assurance policies.
  • Ensure consistency in terminology, formatting, and structure across all technical documents.
  • Incorporate feedback from subject matter experts (SMEs), engineering teams, welding professionals and construction personnel into revised documents.
  • Document Control
  • Maintain version control and track changes to technical standards.
  • Ensure proper archiving and retrieval of documents in accordance with company policies.
  • Manage document lifecycle from draft, internal review, formatting, global review and publication.
  • Compliance & Quality Assurance
  • Verify that technical standards align with internal requirements.
  • Collaboration
  • Work closely with managers, engineers, project managers, welding professionals, Construction personnel and SMEs to gather technical input.
  • Facilitate review cycles and coordinate approvals for updated standards.
  • Process Improvement
  • Recommend improvements to document management processes and tools.
  • Develop and maintain templates and style guides for technical documentation.
