About The Position

We are the North American division of Metrohm AG (Herisau, Switzerland), a global leader in high‑precision laboratory instruments and chemical analysis solutions. We’re seeking a Documentation & Support Coordinator to support our service team and customers through expert documentation management, compliance coordination, and high‑quality administrative support.

Requirements

  • Associate’s degree required; bachelor’s preferred
  • 2+ years in a B2B or corporate support role (or 4+ in customer‑focused roles)
  • Strong administrative, organizational, and communication skills
  • Proficiency in Microsoft Office; intermediate Excel
  • Zendesk or other ticketing system experience (preferred)
  • ERP/CRM familiarity (e.g., MS Dynamics AX/CRM)
  • Excellent attention to detail and time‑management
  • Must pass background check, education/employment verification, and a 10‑panel drug screening (including marijuana)

Nice To Haves

  • Zendesk or other ticketing system experience (preferred)
  • Experience in process design, change management, and exposure to automation or AI tools is highly valuable.

Responsibilities

  • Respond to documentation requests via email, ticketing systems, and phone
  • Maintain vendor and quality documentation
  • Manage vendor portal updates and ensure data accuracy
  • Coordinate approvals and signatures with leadership
  • Upload/manage certificates of insurance & compliance documents
  • Support field service engineers with training/compliance requirements
  • Partner with Sales, Finance, and Leadership on bid documentation
  • Prepare and submit pre‑order materials within required timelines
  • Communicate risks and requirements clearly
  • Obtain notarized documentation when needed
  • Assist with order quality checks
  • Provide backup to Service & Product Support teams
  • Participate in safety documentation or audits
  • Meet productivity goals while delivering high‑quality service
