About The Position

HFI Management (“HFIM”) is currently seeking a DOT and Compliance Coordinator based in Idaho Falls, Idaho. This role plays a vital role in ensuring adherence regulations and other applicable safety and compliance standards. This position supports the organization’s overall risk management strategy by overseeing key areas such as Department of Transportation, Contractor Management Systems, Incident and Claim Management, and OSHA recordkeeping. The role requires strong attention to detail, regulatory understanding, and a proactive approach to maintaining compliance and mitigating risk across operations. HFIM is the administrative and sales support division of the Brad Hall family of companies. HFIM supports companies in fuel and lube distribution, propane sales, retail fuel stations, oil field services farming, fuel transportation and other industries. The family of Companies does business in the Western United States and supplies fuel to over 40 states. The DOT and Compliance Coordinator will primarily be focused on:

Requirements

  • Bachelor’s degree in occupational safety and health, operation logistics, or related field.
  • Commercial Driver’s License – AB or C.
  • 1-2 years’ experience in safety management for an oil/gas/transportation or related industry.
  • Strong understanding and background with third party contractor management systems (Avetta, ISNetworld, and other client portals).

Responsibilities

  • DOT Compliance Program Management: Maintain and update the DOT compliance program, policies, and procedures in line with the current DOT regulations.
  • Monitors changes to DOT regulations and updates compliance policies accordingly.
  • Administer and oversee the DOT-mandated drug and alcohol testing program for commercial drivers.
  • Maintain accurate and up-to-date records of DOT compliance activities, driver files, and inspection reports.
  • Prepare and submit required DOT reports and documentation on time.
  • Maintain records for the Department of Weights and Measures.
  • Maintain fire extinguisher renewals for DOT commercial vehicles.
  • Oversee participation in Contractor Management Systems (Avetta, ISNetworld, and other client portals).
  • Responsible for coordinating and managing employee injury claims.
  • Workers’ Compensation Filing: Initiate and file claims promptly.
  • Maintain OSHA Recordkeeping by updating OSHA 300A Logs.
  • Support the administration and tracking of Safety and DOT training to ensure full compliance with regulatory requirements.
  • Support operations with Hazardous Materials licenses for the fleet.
  • Support Operations with Tier II Reporting.
  • Support operations on license for bulk tank propane gas storage facilities.
  • Support operations on tribal business license renewals and trespass permits.
  • Support operations with required clearance requirements for entering government facilities and other facilities as needed.
  • Coordinate with operations on fleet of vehicles that ensures proper maintenance, adherence to safety standards, and compliance with regulatory requirements.
  • Coordinate with operations on maintaining vehicle registration for fleet.
