About The Position

The Medical Records Clerk maintains Electronic Health Records (EHR), enters patient data, retrieves files and charts, processes release of information requests, assists with record retrieval for subpoenas, and uploads medical records.

Requirements

  • High school graduate or equivalent
  • Require a minimum of 1 year of healthcare experience, preferably in Health Information Management.
  • Electronic Health Record Skills – Utilizes Electronic Health Record systems to accomplish document processing and retrieval
  • Word Processing Skills - Prepares more complex documents in Microsoft Word, including creating tables, charts, graphs, and other elements.
  • Spreadsheet Skills - Uses Microsoft Excel to analyze data, including the use of formulas, functions, lookup tables and other standard spreadsheet elements.
  • Graphics/Presentation Skills - Creates basic presentations in Microsoft PowerPoint.
  • Have constant need (66% - 100% of time) to be able to hear other personnel in order to communicate effectively.

Responsibilities

  • Maintain EHR competency for accurate record understanding and retrieval.
  • Adhere to EHR security and privacy protocols, ensuring HIPAA compliance.
  • Exhibit continued learning and training capabilities
  • Display understanding of all system changes and updates
  • Maintain workflow documentation and training aids
  • Execute prompt processing of medical release of information requests, ensuring consistency, integrity, and proper documentation of paper and electronic records.
  • Adhere to regulatory protocol for medical records retention, storage, and disposal.
  • Review medical records for accuracy and completeness.
  • Resolve discrepancies in collaboration with healthcare providers and other stakeholders
  • Assist in preparing and processing subpoenaed records.
  • Coordinate delivery/transmission of completed medical record requests.
  • Conduct data collection for clinical quality improvement
  • Maintain record of weekly productivity report
  • Calculate total amount of document types processed
  • Identity opportunities for process and productivity enhancements
  • Display excellent customer service skills
  • Respond to medical record inquiries and requests from clients, healthcare providers, and external entities.
  • Exhibit adaptability in accepting and completing assignments.
  • Demonstrate effective written and verbal communication abilities.
  • Manage departmental communication platforms
  • Organizational Skills - Displays more advanced organizational skills, to organize projects and assignments.
  • Problem Solving Skills - Devises effective solutions to situations encountered based on the general goals and objectives of the Medical Records department.
  • Communication Skills - Able to effectively communicate opinions drawn from conclusions using inference and logic.
  • Critical Thinking Skills – Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
