About The Position

The Emergency Preparedness Coordinator provides direct support to the CMO for Disaster & Emergency Preparedness and assists in the coordination of disaster response or crisis management activities for Jackson Health System. Acts as an inter/intra-agency liaison of the Med Aspects of Disaster & Emergency Preparedness department. Coordinates evacuation and other disaster preparedness related programs for Jackson Health System by promoting and implementing existing JHS, state and federal evacuation standards. Ensures compliance with all regulatory requirements. This position will have a significant role in the administration or preparation of the departments or the organization's budget. This position acts in a confidential capacity to assist or aid department management.

Requirements

  • Generally requires 5 to 7 years of related experience (Hospital Emergency Management).
  • High school diploma is required.
  • Valid license or certification is required as needed, based on the job or specialty.

Nice To Haves

  • Hospital Emergency Management experience strongly preferred.
  • Experience with hospital emergency management plans, procedures, protocols, drills and training exercises.
  • Experience and exposure working with AHCA, JACHO, CMS emergency management planning preferred.

Responsibilities

  • Collaborates with other JHS Environmental Health & Safety Department staff to assist and provide direct coordination of facility/area employees' safety programs and education as necessary.
  • Assists the CMO Disaster Emergency Preparedness in the development of customized contingency plans specific to the facility/area, as well as in the development, implementation and enforcement of all JHS system-wide disaster preparedness related administrative policies and procedures there.
  • Coordinates activities to educate clinicians in our Jackson Health System Evacuation program in case of an emergency.
  • Assists with emergency preparedness planning and response, when needed: drill/exercise observation, evacuation response, critiques, after-action briefings & reports, etc.
  • Educates clinicians in our Disaster Education and Simulation lab training program.
  • Educates and trains clinicians in JMH's Evacuation Exercises through regularly scheduled disaster drills.
  • Creates and maintains training brochures for JMH's evacuation program.
  • Assists the CMO in establishing, monitoring and maintaining disaster Task Force teams to combat newly documented viruses, diseases and infections (i.e. Zika virus) determined by the Department of Health and Human Services through the Center for Disease Control (CDC) or other agencies.
  • Handles confidential departmental and divisional faculty and house staff related matters as assigned by the Medical Director.
  • Makes appointments, maintaining calendar, setting up meetings.
  • Accepts, screens and initiates telephone calls.
  • Transcribes and distributes correspondence and documents of varying subject matter.
  • Composes correspondence based on brief oral instructions; independently drafts replies to inquiries when required.
  • Assembles material and formats information including updates for each academic year.
  • Researches and compiles data as required (e.g., accreditation).Acts as liaison between Medical Director's office at JMH and affiliate offices at UM, ensuring flow of correspondence, forms for completion and/or signature and various other materials to and from the faculty.
  • Assists visitors and log patients specifically referred to the Medical Director's office regarding various matters (billing, complaints, employment, etc.)
  • Prepares, distributes and collects annual Faculty Evaluation forms executed by Emergency Services House Staff and graduate students and transcribes the highly confidential results for the Medical Director.
  • Prepares medical papers and manuscripts for submission for publication and distribution to house staff as study materials.
  • Formats, updates and distributes curriculum vitae for Emergency Services faculty and house staff (Chief Resident).
  • Transcribes the minutes and maintains a minutes file for an intradepartmental executive committee.
  • Distributes of minutes and agenda.
  • Establishes and maintains office filing system and personal reading file for the Medical Director.
  • Maintains the Medical Director's copies of the Hospital and Emergency Department Policy and Procedure Manuals.
  • Compiles confidential list of faculty, house staff and other department employees' home address and/or phone numbers.
  • Compiles and updates annual reference list of all faculty (to include titles, location, current chief residents) for distribution throughout department.
  • Assembles, prepares and distributes appointment paper for faculty and house staff.
  • Distributes and/or posts notices (departmental and/or divisional) for faculty and house staff as directed by the Medical Director.
  • Maintains assigned office equipment, typewriter, transcribing unit and computer, and portable dictating units for faculty (making service and purchasing and supplying batteries).
  • Orders and pick up of office supplies (University Medical Bookstore).
  • Assigns mail slots for faculty and house staff.
  • Screens incoming mail, marks items in regulations, policy issuances, technical bulletins or other material of which supervisor should be cognizant.
  • Plans, supervises, schedules and reviews work of subordinates.
  • Revises schedules to meet fluctuations in workload or to cover absences.
  • Assists staff with questions on appropriate department or hospital policies, regulations and procedures.
  • Provides makes arrangements for conferences; informs participants and provides background information; serves as recording secretary at conferences and meetings.
  • Maintains or supervises the maintenance of various records such as subject matter files, reference materials, assignment sheets, expenditure controls, and purchase requests.
  • Repairs and submits purchase orders and requests for repair of office equipment.
  • Keeps superior advised as to personnel or equipment problems, assists superior in assembling information for budget requests.
  • Assembles material from department files or reference materials for superior's use in lectures, speeches or for professional conferences.
  • Makes travel and hotel arrangements for non-local meetings and maintains travel itinerary.
  • Contacts superior in the field in the event of an emergent need.
  • Makes decisions regarding release of confidential information or the disposition of inquiries based on knowledge of department policy and superior's viewpoint.
  • Demonstrates an understanding of the dynamics involved in business/professional relations and ethics.
  • Demonstrates a thorough knowledge of medical terminology and disease etiology in the specialties of the department.
  • Utilizes principles and practices for effective office management.
  • Performs all other related job duties as assigned.
