About The Position

The Equipment Coordinator is responsible for overseeing the scheduling of maintenance and calibration, managing equipment inventory, and administering contracts related to equipment services. This role ensures that all equipment is properly maintained and calibrated, with thorough and accurate documentation. You will also coordinate with vendors and internal teams to schedule services and ensure optimal availability and functionality. Additionally managing and overseeing service agreements to ensure a timely renewal, thereby minimizing downtime and supporting operational efficiency.

Requirements

  • Associates degree in sciences or related field, preferred
  • One to three years of related maintenance/coordinator experience, metrology experience is highly preferred
  • Proficient in MS Office Suite
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.

Responsibilities

  • Oversee and manage all contracts related to equipment services, ensuring timely renewals and compliance across all pre-clinical sites.
  • Coordinate and schedule preventative maintenance, calibrations, and non-routine repairs by collaborating with internal departments and external vendors.
  • Develop and implement a standardized lifecycle management program for heavily utilized equipment, such as refrigerators, freezers, and other critical assets, in partnership with the procurement team.
  • Create, manage, and track purchase order requisitions to ensure timely procurement of equipment and related services.
  • Author, review, and revise Standard Operating Procedures (SOPs) related to equipment management and maintenance processes.
  • Work closely with internal teams to ensure seamless deployment and integration of new equipment into workflows.
  • Provide administrative support to the Equipment Department, including managing special projects and optimizing operational processes.
  • Perform quality control checks to ensure the accuracy and completeness of equipment data in relevant systems.
  • Maintain and archive equipment documentation, ensuring records are up-to-date and readily accessible.
  • Address and resolve equipment-related deviations, non-conformances, and other issues as necessary.
  • Contribute to the development, review and revision of Equipment Quality Management Program.
