This role plays an important part in helping clients protect what matters most, their homes, families, and legacy, by ensuring that every step of the estate planning process is handled with precision, care, and professionalism. The Estate Plan Builder is a client-facing operational professional responsible for guiding clients through the estate planning process from discovery through document execution. This role conducts estate planning meetings, facilitates trust design discussions, and ensures cases are executed accurately and in compliance with company protocols. The Estate Plan Builder also supports advisors by documenting client interactions, managing workflows in the CRM, coordinating follow-ups, and assisting with appointment generation through BAMFAM (Book a Meeting From a Meeting). Success in this role requires strong procedural discipline, regulatory awareness, client relationship skills, and close attention to detail.

Requirements

  • Bachelor’s degree in Finance, Law, Business, or a related field
  • 2 to 5 years of experience in estate planning, trust administration, legal support, or a related area
  • Strong understanding of wills, trusts, probate processes, and estate planning structures
  • Experience using CRM systems and estate planning software
  • High proficiency in documentation management, workflow systems, and maintaining accurate client records
  • Strong written and verbal communication skills
  • Strong analytical and problem-solving abilities
  • High attention to detail and procedural accuracy
  • Ability to handle confidential and sensitive client information

Nice To Haves

  • Trust and Estate Practitioner (TEP) designation
  • Experience with tax planning or estate-related compliance work
  • Familiarity with investment concepts or financial markets

Responsibilities

  • Conduct estate planning discovery meetings and client fact-finding sessions
  • Lead trust design and estate planning consultation meetings with clients
  • Review and explain estate planning documents such as wills, revocable trusts, irrevocable trusts, powers of attorney, and healthcare directives
  • Facilitate document execution meetings in coordination with attorneys or notaries when applicable
  • Educate clients on estate planning structures, probate avoidance strategies, asset protection considerations, and relevant tax concepts within the scope of the role
  • Assist clients with guardianship and conservatorship planning coordination
  • Coordinate discussions around asset alignment and trust funding
  • Prepare case files and documentation in advance of client meetings
  • Maintain accurate CRM records and workflow tracking for all cases
  • Coordinate with internal staff and third-party professionals involved in estate planning cases
  • Ensure proper file storage, document retention, and confidentiality of client information
  • Monitor timelines and ensure cases move forward according to service benchmarks
  • Participate in internal audits, quality assurance reviews, and case coaching when required
  • Support advisors by scheduling qualified appointments through BAMFAM (Book a Meeting From a Meeting)
  • Conduct client follow-up communication when necessary
  • Identify opportunities for additional services that align with client needs
  • Help generate referrals, positive client reviews, and overall goodwill for the firm
  • Reinforce the firm’s value proposition and client service standards during interactions
  • Ensure activities comply with applicable federal and state estate laws within the scope of the role
  • Maintain strict confidentiality of client information
  • Uphold professional ethical standards and fiduciary principles
  • Participate in required training, certifications, and continuing education
