Job Summary: The Executive Admin will assist the executives and their sales teams with heavy calendaring, proactive meeting arrangements, organizing and maintaining all files (digital and hard copy as needed), travel arrangements, following up on requested tasks and light project management, ordering supplies, preparing agendas, note taking, and generally keeping them on-track and productive. Successful candidates must have intermediate to advanced Word and Outlook skills, a high degree of confidentiality, and a passion for adding value. This is a full-time position for a seasoned professional who enjoys being an assistant. Requirements

  • 5+ years of relevant work experience
  • Strong verbal and writing skills required
  • Strong interpersonal and team-oriented skills; good relationship builder
  • Positive attitude, professional, self-motivated; “can-do” approach to assignments
  • Ability to thrive in a very fast-paced, demanding environment
  • Ability to jump right in and start making a contribution while learning along the way

Responsibilities

  • Efficiently manage executive calendars across various time zones, anticipating and resolving scheduling conflicts.
  • Coordinate complex travel plans for multiple team members, ensuring all itineraries are confirmed and details communicated clearly.
  • Assist in preparing, drafting, and organizing reports, meeting agendas, and memos to support executive operations.
  • Format, edit, and proofread documents to ensure accuracy and professionalism.
  • Organize and maintain digital files and records for easy access and secure storage.
  • Process receipts and manage reimbursement requests in a timely and organized manner.
  • Arrange catering services and prepare conference rooms for meetings and events.
  • Screen incoming calls and direct inquiries appropriately.
  • Utilize intermediate to advanced proficiency in Microsoft Word and Outlook to support daily tasks and communications.
  • Uphold strict confidentiality in handling sensitive information at all times.
  • Perform other duties as assigned to support the needs of the team.
