We are searching for the best talent for an Executive Administrative Assistant to support the JJT Corporate Business Technology (CBT) team. This is a fully onsite position located in New Brunswick, NJ. This position will provide proactive administrative and operational support to the CIO and CBT leadership team. The selected candidate will manage complex calendars, domestic and international travel, confidential communications, and various group meetings and events. Ideal candidates are tech-savvy, detail-oriented, and thrive in a fast-paced global environment.

Requirements

  • A minimum of a High School diploma is required, an Associate’s degree or higher is preferred.
  • A minimum of 6 years’ experience as an administrative professional is required.
  • A demonstrated ability to provide administrative support at the Executive level is required.
  • Expert level proficiency in Microsoft Office programs (Outlook, OneDrive, Word, Excel and PowerPoint) is required.
  • Demonstrated ability to learn and effectively utilize specialized computer software for expense reporting, travel reservations, procurement and other applications (such as Concur, Health Care Compliance GO-EX, eMarketplace, etc.)
  • Demonstrated ability to maintain highly confidential information is required.
  • The preferred candidate will have strong interpersonal skills and the ability to work independently.
  • Strong organizational and time management skills, excellent attention to detail and the ability to prioritize work against critical deadlines in a dynamic, fast-paced, multicultural, global environment is required.
  • Ability to exercise sound judgment and discretion to independently assess and resolve complex situations/problems/prioritization.
  • Responsive, energetic and enthusiastic customer focus is required.
  • Ability to anticipate stakeholder needs without direct instruction and be proactive in addressing them is required.

Nice To Haves

  • Experience using Microsoft Co-Pilot or other GenAI tools preferred.

Responsibilities

  • Manage complex executive calendars across time zones; schedule and prepare leaders for high-priority meetings (Teams/Zoom); reserve rooms and A/V; proactively resolve conflicts and prioritize meetings.
  • Arrange domestic and international travel (flights, hotels, ground transport), manage visa support, prepare and reconcile expense reports using Concur, and maintain travel/expense records.
  • Maintain confidential documents, version control, and team sites (SharePoint, Microsoft Teams, etc.); draft and proofread executive communications and presentations as needed. Keep organizational charts and distribution lists up to date.
  • Track deliverables, timelines, and follow-ups for assigned projects; assemble data and reports; coordinate events, team meetings and town halls.
  • Effectively communicate across all levels, anticipate needs of the CIO/team, provide backup coverage for other admins, and collaborate with administrative peers for process improvements.
  • Handle highly confidential information with discretion and adhere to Code of Business Conduct, Our Credo and organizational policies. Demonstrate flexibility and independently respond to multiple priorities and shifting demands while maintaining the sense of urgency. Develop in-depth knowledge of department and business priorities enabling prioritization of meetings and workload. Demonstrate strong attention to detail and follow-through on all assigned tasks. Identify and implement new, efficient ways of working utilizing productivity tools.
