About The Position

Provides administrative support to the Chief Commercial Banking Officer, the Chief Credit Officer and the Deputy Chief Credit Officer.

Requirements

  • Five or more years background in administrative area; experience in a financial institution preferred.
  • Excellent Computer Skills to include Microsoft Outlook, Word, Excel, PowerPoint, Adobe, Microsoft Teams. Ability to navigate “Google Chrome” based applications (i.e. Salesforce, nCino, ADP, etc), Silverlake, etc.
  • Strong communication skills and ability to interact with all levels of team members, board members, and clients.
  • Demonstrated written and oral communication skills.
  • Demonstrated organizational and detailed oriented skills.
  • High degree of discretion dealing with confidential information
  • Ability to start at 7:30 am daily and willingness to work some evenings and/or weekend days.
  • Demonstrated ability to work independently and as a team.
  • Minimum two years clerical or administrative experience.
  • Knowledge of general office machines and telephone system.

Responsibilities

  • Performs daily administrative support for the Chief Commercial Banking Officer
  • Provides daily administrative support for the Chief Credit Officer and Deputy Chief Credit Officer as needed.
  • Manages CCBO’s calendar to include keeping CCBO on track for appointments and notifying all parties when delays or changes are needed.
  • Answers phone, route calls, and take messages for CCBO, CCO and DCCO
  • Manages routine, new, and impromptu meeting setups to include: Set up Agendas, handouts, and provide necessary material. Evaluating availability, scheduling meetings and coordinating scheduling conflicts Booking conference rooms and set up virtual meetings in advance. Set up the room to include audio visual components. Troubleshoot with IT when required. Providing food, drinks or other refreshments (when appropriate) Clear room when meeting concludes.
  • Coordinates Department-wide meetings to include Bi-monthly team morning meeting, CBM weekly meeting, Monthly trainings, etc.
  • Completion, preliminary review and maintenance of pipeline, leads, overdrafts, exceptions, projected fundings, and additional statistical or other reports as requested.
  • Performs basic client service tasks (i.e. transfers, wires, advances, etc.)
  • Coordinate Client Appreciation Lunches to include client communication, venue coordination, presentation, calendars, etc.
  • Assists in the management of personnel matters for CCBO to include annual evaluations, intake paperwork, timecard reviews, etc.
  • Maintains Meeting records to include files, minutes, and report archives for CCBO.
  • Manages CCBO’s travel calendar and expense report.
  • Provide lunchtime coverage for reception desk occasionally.
  • Type, print and word process documents, meeting packages and letters as needed.
  • Maintain supplies as needed for CCBO, CCO and DCCO
  • Maintain appropriate interpersonal relationships with team members and clients.
  • Assist with various lending operations as requested.
  • Other duties as assigned.
