About The Position

GENERAL FUNCTION: The Executive Assistant role is to provide high-level administrative and strategic support to Sr. bank executives and the board of directors. This role is also to aid in managing the Bank's Human Resources Department which includes personnel administration alongside the HR team. This includes develop, maintain, and administer personnel programs including performance appraisal, salary administration, employee benefits, and organizational structure that contribute to the effective and profitable operations of the Bank.

Requirements

  • Minimum three years or more of progressively more responsible experience with payroll and employee benefits.
  • Excellent organizational skills.
  • Extensive background of personnel administration principles, salary administration, job analysis, compensation, employment and other labor laws, and retirement plans and programs.
  • Excellent oral and written communication skills.
  • Excellent interpersonal skills.
  • Strong analytical skills.

Responsibilities

  • Prepare various confidential reporting.
  • Assist in meeting and schedule management.
  • Provide meeting and event support.
  • Handle sensitive information with utmost discretion.
  • Aid in shareholder management.
  • Assist Board Secretary and maintain proper records for board meetings.
  • Ensure that the Bank follows all laws and regulations relating to personnel utilization, compensation, benefits, policies and other conditions of employment.
  • Manage bank benefits including selection and enrollments.
  • Work with VP of Organizational Development and other HR staff on the onboarding of new staff in relation to benefits payroll.
  • Communicate with the Bank's President, Senior Management and managerial staff on legal changes, decisions, current trends, issues, new programs and changes that impact both Human Resources and the Bank.
  • Formulate, recommend and promote personnel policies and programs, which through proper utilization of people, will support Bank objectives and facilitate professional management practices.
  • Communicate and assist in the interpretation and implementation of personnel policies; evaluate general employee attitudes; counsel with Bank management on personnel activities, issues and problems.
  • Ensure that uniform standards of working hours, overtime, vacations, leaves of absence, severance pay, holidays and related policy areas are maintained alongside the payroll team.
  • Develop and administer the wage and salary function, including maintenance of a position evaluation program and incentive compensation programs which are competitive with those in other banks and financial institutions in similar market areas. Responsible for payroll entry and record maintenance alongside the payroll team.
  • Work with VP of Employee Development to maintain and continually review the appraisal program to ensure the periodic review of employee performance and coordinate all appraisal activities to ensure that all employees are evaluated with maximum objectivity.
  • Aid in protecting all bank systems.
  • Carry out other such duties as may be assigned or directed.
