We are seeking a highly organized, proactive, and professional Executive Assistant to support a dynamic executive leadership team based in Boca Raton, Florida. This role requires strong administrative, communication, and coordination skills, along with the ability to manage competing priorities in a fast-paced environment. The ideal candidate resides within driving distance of our Boca Raton office and thrives in a hybrid work environment with a strong in-office presence.

Requirements

  • 5+ years of experience as an Executive Assistant or Senior Administrative Professional
  • Proven experience supporting multiple executives
  • Advanced proficiency in Microsoft Office Suite
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Professional demeanor and high emotional intelligence
  • Ability to work in-office at least 4 days per week
  • Resides within commuting distance of Boca Raton, FL

  • Experience working with private equity, boards, or senior leadership teams

Responsibilities

  • Provide high-level administrative support to approximately five senior leaders
  • Manage complex calendars, meeting schedules, and travel arrangements
  • Coordinate internal and external meetings, including preparation of agendas and materials
  • Screen calls, emails, and correspondence; prioritize and route as appropriate
  • Draft, edit, and format professional documents and presentations
  • Serve as a key point of contact between executives, internal teams, and external partners
  • Maintain organized electronic and physical filing systems
  • Assist with expense reports, reimbursements, and administrative tracking
  • Support office logistics and executive workspace needs
  • Coordinate leadership meetings, offsites, board meetings, and company events
  • Work with vendors, venues, caterers, and external partners
  • Manage contracts, timelines, and budgets related to events
  • Ensure flawless execution of meetings and events
  • Utilize Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) at an advanced level
  • Prepare presentations, reports, and spreadsheets
  • Maintain confidentiality and secure handling of sensitive information
