About The Position

We are seeking a highly motivated, tech-forward Executive Assistant to a Top Tech Leader. This is a strategic, high-impact role for an individual who redefines executive support by leveraging modern, AI-driven efficiency. You will act as a true partner, anticipating needs before they arise and ensuring the entire leadership operation runs at Champion Pace. This role is centered on elite-level logistics and administrative precision, requiring a polished professional who thrives in a fast-paced, high-growth tech environment.

Requirements

  • Experience: 5+ years of C-Suite or high-level Executive Assistant experience, preferably within a high-growth software or tech company.
  • AI Literacy: Hands-on experience and a personal subscription to AI agents/tools to automate mundane tasks and data workflows.
  • Location: Ability to be on-site in the Miami (Brickell) office daily to manage operations and support the executive presence.
  • Availability: Flexible and "on-call" 24/7 to support a high-velocity global schedule.
  • Tech Stack: Expert proficiency in G-Suite, Slack, Zoom, Microsoft 365 (Teams), and various travel/expense management systems.
  • Soft Skills: High discretion, a "no task too small" attitude, and the "presence" required to represent the head office to clients and executives.

Responsibilities

  • Complex Travel & Logistics: Own end-to-end domestic and international travel strategy. This includes flight bookings, check-ins, and ensuring ground transportation is waiting upon arrival. You are the "fixer" who resolves travel disruptions in real-time.
  • Calendar & Correspondence Management: Manage high-volume, complex calendars and confidential correspondence. You will strategically protect the executive's time, prioritizing "deep work" and high-stakes meetings across global time zones.
  • Financial Operations & Expense Reporting: Execute seamless expense reporting, reconciliation, and budget tracking for the executive office with 100% accuracy.
  • Cross-Executive Support: While primarily supporting a top tech leader, you will provide administrative assistance to other members of the executive team as needed to optimize regional leadership operations.
  • Miami Hub Management: Act as the central point of contact for our Brickell (Miami) office. Oversee facilities and vendor management to ensure the environment is "client-ready" and reflects our brand standards.
  • AI-Enhanced Efficiency: Proactively utilize AI tools (Gemini, ChatGPT, Claude) for meeting transcription, summarization, and workflow automation to maintain a competitive edge.
