About The Position

Our client is seeking a highly motivated Executive Assistant to support the VP of an AI driven team. The role demands strong focus and execution in managing a high volume of tasks, including complex calendar management, scheduling, and prioritizing amidst numerous requests. You will monitor and track the VP's meeting priorities and emails, act as a proxy when necessary, and manage travel, expenses, and all administrative support functions. Additionally, you will document and follow up on multiple tasks and action items to ensure timely action on deliverables.

Requirements

  • Minimum of 7 years of experience supporting high-level management, such as VPs, high-level VPs, or CEOs.
  • Strong working knowledge of Microsoft Office and Outlook tools.
  • Exceptional verbal and written communication skills.
  • Ability to switch gears and make smart, timely decisions in fast-paced environments.
  • High levels of integrity and discretion in handling confidential information.
  • Attention to detail and ability to react with urgency to situations.

Nice To Haves

  • At least two years of college required; bachelor's degree preferred.
  • Experience with collaboration and negotiation with other administrative groups.
  • Tech industry experience and familiarity with fast-paced environments.
  • Working experience in tech environments and previous experience with a VP.

Responsibilities

  • Manage complex calendar scheduling and prioritize tasks effectively.
  • Coordinate international and domestic travel arrangements, including visas.
  • Facilitate moves within office spaces, such as coordinating with facilities.
  • Maintain confidentiality and professionalism while handling sensitive information.
  • Communicate effectively and act as a proxy for the VP when required.
  • Manage travel, expenses, and other administrative tasks efficiently.
  • Document, track, and follow up on tasks and action items for timely execution.
