We are seeking a dynamic professional who can seamlessly support the CEO, oversee property‑related operations, and manage key projects. This role blends three critical responsibilities: Executive Assistant, Project Manager, and Property Manager.

Requirements

  • 5+ years of demonstrated success/proven experience supporting a senior executive in a fast-paced environment
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), virtual collaboration tools (Microsoft Teams), and/or other productivity software
  • Exceptional organizational and time management skills with the ability to prioritize multiple tasks and manage competing deadlines
  • High degree of professionalism, emotional intelligence, and discretion; maintains composure under pressure, demonstrating adaptability and flexibility
  • Self-motivated, proactive, and resourceful problem-solver with the ability to anticipate needs before they arise and address challenges effectively
  • Ability to manage multiple focuses simultaneously: executive support, project oversight, and property coordination; thrives under pressure, adapts quickly, and maintains accuracy with close attention to detail across all responsibilities
  • Excellent communication skills (both written & verbal), ensuring clarity and accuracy in every task

Responsibilities

  • Provide high-level administrative support to the CEO and executive leadership in a fast-paced, dynamic environment.
  • Executive Support: Manage calendars, meetings, travel arrangements, and daily priorities.
  • Meeting Preparation: Prepare agendas, presentations, briefing materials, and ensure the CEO is fully prepped for each engagement.
  • Idea & Initiative Management: Capture, organize, and operationalize the CEO's ideas and strategic initiatives.
  • Gatekeeping & Communication: Serve as the primary liaison between the CEO and internal/external stakeholders.
  • Process Optimization: Implement systems to streamline workflows and improve executive productivity.
  • Expense & Vendor Management: Manage expense reports, budget tracking, and vendor relationships.
  • Event Planning: Coordinate logistics for meetings, offsites, and company-wide events.
  • Confidentiality: Handle sensitive information with discretion and professionalism.
  • Drive and support company-wide initiatives, ensuring progress, alignment, and timely execution.
  • Project Coordination: Manage timelines, deliverables, and communication for key strategic and operational projects. Prepare project status updates, dashboards, and post‑project summaries for the CEO.
  • Cross-Functional Leadership: Work closely with operations, HR, finance, and field teams to drive projects forward.
  • Tracking & Reporting: Maintain dashboards, follow-up systems, and weekly project updates for leadership.
  • Process Development: Identify bottlenecks across the organization and help build efficient, repeatable processes.
  • Quality & Standards: Ensure projects adhere to company expectations for accuracy, documentation, and execution.
  • Problem Solving: Anticipate roadblocks, create solutions, and keep teams aligned toward shared outcomes.
  • Oversee and support the management of National Coatings' facilities, office spaces, and related assets.
  • Facility Oversight: Support maintenance, repairs, inspections, and upkeep for offices, warehouses, and equipment storage facilities.
  • Vendor Coordination: Manage service providers (HVAC, cleaning, security, landscaping, etc.).
  • Asset Management: Maintain property-related logs, documents, leases, inventories, and compliance requirements.
  • Budget Tracking: Assist with property budgets, invoices, and cost control.
  • Safety & Compliance: Ensure facilities meet safety standards, regulatory requirements, and internal policies.
