About The Position

CCHS is seeking a highly capable, mission-aligned Executive Assistant to provide strategic, administrative, and hospitality-focused support to our Head of School. This role is central to advancing the vision, growth, standards of excellence, and spiritual impact of CCHS as we serve our school community-students, parents, church, and staff-through Christ-centered education and leadership. The ideal candidate is a deeply trusted partner and a great ambassador for Christ, CCHS, and the Head of School personally, who brings excellence, discernment, and a servant-leadership posture to every interaction. They are energized by working behind the scenes to support leaders who are committed to honoring God through their work, discipling students, and strengthening Christian families and the local church. Applicants must have and demonstrate a minimum of five (5) years of administrative experience.

Requirements

  • Minimum of five (5) years of administrative experience supporting senior leadership or equivalent responsibility, preferably in a school, ministry, non-profit, or similar setting.
  • Demonstrated ability to handle complex calendars, multiple priorities, confidential information, and time-sensitive tasks with a high degree of professionalism.
  • Strong written and verbal communication skills, with the ability to communicate graciously, clearly, and effectively with a variety of audiences.
  • Proven track record of hospitality, relational warmth, and high standards of professionalism and excellence in presentation, follow-through, and service.
  • Strong organizational skills, attention to detail, and the ability to create, maintain, and improve systems and processes.
  • Proficiency with common office and communication tools (e.g., email, calendars, word processing, spreadsheets, and presentation software).
  • Ability to work both independently and collaboratively, demonstrating initiative, discernment, and a servant-hearted, can-do attitude.

Responsibilities

  • Maintain a dynamic, complex calendar for the Head of School, ensuring alignment with school priorities, chapel and spiritual-life events, parent and church engagements, and key academic activities.
  • Plan, coordinate, and ensure the Head of School's schedule is followed and respected; serve in both a "gatekeeper" and "gateway" capacity to create win-win outcomes for students, parents, church partners, and staff.
  • Coordinate internal and external meetings and engagements (e.g., with faculty, parents, board members, and church leadership), including agenda preparation, materials, hospitality details, and follow-up actions.
  • Perform essential clerical and administrative duties including filing, copying, scanning, data entry, record maintenance, and document management.
  • Maintain strict confidentiality and exercise sound judgment and discretion with sensitive information related to students, families, staff, and school operations.
  • Support key school systems and rhythms (staff meetings, parent meetings, school events, chapel services, and special projects) as assigned, ensuring they are executed with consistency, order, and excellence.
  • Perform other miscellaneous duties as requested in support of the Head of School, the school as a whole, and the broader mission of CCHS.
  • Every Employee at Calvary Christian High School, whether a teacher, administrator, or staff member, is charged with playing a formative role in the spiritual lives of every student, their parents, and other CCHS Employees. Such responsibility includes praying with others, leading a class or in devotions, actively engaging in Biblical Integration through training and day-to-day implementation, sharing the Gospel with students and parents, and providing spiritual guidance. The duties of this position at CCHS shall not only include non-religious, secular responsibilities, but shall include religious responsibilities with a heart for the soul of every student, parent and co-worker.
