About The Position

Swarm Aero is redefining air power by building the largest swarming UAV network and the most versatile swarming aircraft ecosystem in the world. We are moving quickly to launch the first aircraft designed specifically for swarming, alongside a powerful Command and Control platform capable of mobilizing thousands of heterogeneous autonomous assets and enabling human operators to achieve superhuman results. Our team has created and exited multiple startups, negotiated defense deals worth billions of dollars, and designed and built more than 30 novel aircraft. Our aerospace pedigree includes experience from Scaled Composites, Airbus, Archer Aviation, Blue Origin, and Boom Supersonic. We move fast, think boldly, and operate with intensity and precision. The Role The Executive Assistant will report to the Operations Manager and directly support our three founders. This individual will serve as a force multiplier for the leadership team, ensuring focus, organization, and operational continuity. This role requires exceptional judgment, discretion, and execution. The ideal candidate thrives in ambiguity, anticipates needs before they arise, and takes pride in creating structure in high-growth environments

Requirements

  • 5+ years of experience supporting senior executives, ideally in startup, aerospace, defense, or high-growth environments
  • Exceptional organizational and time management skills
  • Strong written and verbal communication
  • High discretion and emotional intelligence
  • Comfortable working in fast-paced and ambiguous environments
  • Highly proactive and detail-oriented

  • Experience in defense, aerospace, or hardware startups

Responsibilities

  • Manage complex calendars across multiple executives
  • Coordinate internal and external meetings, including defense and strategic partners
  • Arrange domestic and international travel with detailed itineraries
  • Prepare agendas, materials, and briefing documents
  • Track follow-ups and action items across leadership meetings
  • Handle confidential information with discretion and professionalism
  • Serve as front-of-office presence for visitors and partners
  • Support coordination of onsite interviews and candidate experience
  • Assist in onboarding new hires
  • Help maintain an organized and professional office environment
  • Coordinate small events, offsites, and executive gatherings
  • Provide backup operational coverage when leadership is traveling
  • Improve workflows that increase executive efficiency
  • Create systems for task tracking and visibility
  • Anticipate bottlenecks and proactively solve problems
  • Act as a connector across teams to ensure alignment
