About The Position

A healthcare organization is seeking an experienced Executive Assistant to provide high-level administrative and scheduling support to senior physician leadership and executive directors within a clinical institute setting. This role serves as a central communication hub, supporting leadership activities, publications, presentations, travel coordination, and day-to-day executive operations. Healthcare administrative experience is strongly preferred, particularly experience supporting physicians and executive leadership.

Requirements

  • 2–3+ years of administrative experience in a healthcare environment preferred
  • Experience supporting physicians and executive leadership strongly preferred
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational, multitasking, and follow-through skills
  • Strong written and verbal communication abilities
  • Ability to work independently and make sound decisions
  • Knowledge of medical terminology
  • Functional computer and office equipment skills (copiers, fax, etc.)
  • High School Diploma or GED

Nice To Haves

  • Associate Degree in Business or related field

Responsibilities

  • Serve as the primary administrative and communication point for the Medical Director and executive leadership.
  • Manage complex calendars and schedules for the Medical Director, Executive Director, and physician leadership.
  • Coordinate meetings with administrators, physicians, vendors, sponsors, and internal stakeholders.
  • Handle all electronic and paper correspondence for executive leadership.
  • Prepare, submit, and track expense reports and travel documentation.
  • Coordinate IT support needs and meeting logistics.
  • Record, transcribe, and distribute meeting minutes.
  • Support research and publication activities, including:
  • Transcribing text and figures for manuscript submissions.
  • Coordinating abstract submissions and publication deadlines.
  • Obtaining publisher permissions for graphics and materials.
  • Securing required approvals and managing timelines.
  • Create and organize professional presentations using PowerPoint and other media.
  • Assist with national and regional conference planning, including:
  • Physician travel arrangements and itineraries.
  • Speaking engagements and investigator meetings.
  • Submission of faculty paperwork and presentation materials.
  • Maintain accurate documentation and reimbursement records.
  • Ensure timely and professional communication with internal and external stakeholders.
  • Perform additional administrative duties as assigned.
