Job Description: The Executive Assistant for HPE Networking will provide end‑to‑end executive support for the VP of Business Operations. Own complex calendar management, meeting agendas and materials, decision and action tracking, executive communications, travel/expenses, and cross‑functional coordination with Finance, HR, Legal, Product, Sales Ops, Supply Chain, and PMO. Operate independently, prioritize effectively in a fast‑moving environment, and maintain strict confidentiality while resolving issues quickly. What you’ll do: Executive operations & calendar leadership Own complex, dynamic calendar orchestration across global time zones; proactively prioritize meetings against strategic objectives, deadlines, and executive energy management. Coordinate the weekly/quarterly operating cadence (staff meetings, QBRs, portfolio and program reviews, budget checkpoints), including agendas, materials, attendees, pre‑reads, and time‑boxed follow‑ups. Meeting preparation, content, and follow‑up Prepare briefing notes, talking points, and executive decks; distill inputs from Finance, HR, Legal, Product, Sales Ops, Supply Chain, and PMO into clear, executive‑ready content. Capture decisions and action items; track deliverables to closure with owners, elevating risks and dependencies early. Communications & stakeholder engagement Draft internal communications, announcements, and updates on behalf of the VP; ensure clarity, tone, and timing align to business priorities. Serve as a liaison to senior leaders, external partners, and customers; triage inbound requests, protect executive focus, and maintain confidentiality. Budget, headcount, and vendor process support Support budget cycle tasks (tracking OPEX, travel, vendor invoices, POs) and partner with Finance on variance explanations. Coordinate headcount planning activities (req creation, interview scheduling, onboarding logistics) with Talent Acquisition and HR, maintaining accurate records and timelines. Travel & logistics Plan complex domestic/international travel (itineraries, visas, conferencing logistics); reconcile and submit expense reports accurately and on time. Team enablement & administrative leadership Mentor and coordinate work across administrative staff supporting the Biz Ops org; standardize processes, templates, and best practices. Continuously improve administrative workflows and knowledge repositories (playbooks, trackers, shared drives). Qualifications: Required 9+ years of executive‑level administrative support (VP/SVP or above), or equivalent combination of experience and education. Mastery in complex calendar management, executive communications, meeting prep/follow‑up, confidential information handling, and cross‑functional coordination. Expert proficiency with Microsoft 365 (Outlook/Teams/Excel/PowerPoint/OneDrive/SharePoint). Ability to operate independently, exercise sound judgment, and resolve novel, complex situations. Preferred Experience supporting Business Operations (COO/Operations/Transformation/PMO) executives. Familiarity with enterprise systems for budgeting, procurement, and HR (e.g., Workday, Ariba/Coupa, Salesforce/Smartsheet or equivalent). Strong data orientation—able to compile metrics and dashboards (e.g., meeting throughput, action closure rates, SLA adherence). Bachelor’s degree or relevant professional development.
