Requirements

  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, etc.
  • Strong interpersonal and relationship‑building skills.
  • Extensive experience managing complex executive calendars.
  • Excellent written and verbal communication skills, including business English and grammar.
  • Strong analytical and basic mathematical skills.
  • Ability to make sound independent decisions and demonstrate good judgment.
  • Proactive, self‑directed, and able to anticipate needs.
  • Understanding of corporate structure, executive workflows, and organizational dynamics.
  • Minimum of 7 years of administrative or executive assistant experience supporting senior or executive‑level leadership.
  • High school diploma or equivalent
  • Administrative Assistant certification or equivalent

Responsibilities

  • Prepare, edit, and proofread routine and complex correspondence, presentations, reports, and memoranda.
  • Screen and route telephone calls and visitors; provide assistance or resolve inquiries when appropriate.
  • Manage complex calendars, including scheduling appointments, coordinating meetings, and arranging detailed travel itineraries.
  • Compose and initiate correspondence, reports, and other written materials on behalf of executives.
  • Coordinate and support special projects, events, conferences, mailings, presentations, and research-based assignments; may collaborate with others to ensure timely completion.
  • Maintain accurate expense records and prepare executive expense reports.
  • Support and contribute to organizational quality and continuous improvement initiatives.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Manage multiple tasks, shifting priorities, and concurrent calendars with efficiency.
  • Provide project management support, including tracking deadlines, milestones, and deliverables.
  • Develop and deliver professional PowerPoint presentations.
  • Analyze data and prepare summaries, dashboards, or insights as needed.
  • Lead logistics and coordination for internal and external events.
  • Perform additional duties and responsibilities as assigned.
