About The Position

Compassion & Choices is seeking an experienced Executive Assistant to help advance our advocacy, medical outreach and education efforts across the country. This role is responsible for providing high-level administrative, operational, and strategic support to the President/Chief Executive Officer. This role serves as a trusted partner by protecting leadership capacity through managing complex scheduling, communications, and organizational priorities, while exercising sound judgment, discretion, and initiative. The ideal candidate is proactive, detail-oriented, and capable of operating in a fast-paced executive environment with professionalism and confidentiality, while also able to build productive, collaborative workplace relationships to ensure leadership decisions be operationalized. This is a full-time, remotely-located, paid position reporting to the President/CEO. Compensation offered will be commensurate with experience. Requirements

  • Bachelor’s degree or equivalent professional experience required
  • 3-5 years prior experience supporting a senior executive or C-suite staff member in an administrative role.
  • Strong written and verbal communication skills with a professional, polished presence.
  • Proficiency with Microsoft Office, Google Workspace, Adobe Acrobat and virtual meeting platforms; experience with project management tools is a plus.
  • High level of discretion, integrity, and emotional intelligence.
  • Exceptional organizational, time-management, and multitasking skills.

Responsibilities

  • Manage and coordinate the President/CEO’s complex calendar, including scheduling meetings, travel, and events with a focus on strategic prioritization.
  • Act as a central communication conduit for the President/CEO, ensuring priorities, decisions, and context are clearly communicated to relevant stakeholders in a timely and professional manner.
  • Prepare, edit, and manage correspondence, reports, presentations, and briefing materials for meetings and public engagements.
  • Coordinate leadership meetings, including developing agendas, producing or requesting materials, recording minutes, and ensuring follow-up actions.
  • Prepare concise project and task status updates and summaries for the CEO and leadership team.
  • Reinforce accountability by tracking decisions made in leadership meetings and following up to verify they are executed.
  • Collaborate with senior leadership and cross-functional teams to support organizational priorities.
  • Support strategic initiatives by conducting research, tracking action items, and ensuring project milestones are met.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Streamline administrative processes and recommend improvements to enhance executive and organizational efficiency.
  • Assist with event planning and logistics for executive and company functions as needed.
  • Support of all C&C efforts as requested; including, but not limited to, activities such as identifying prospects, briefing donors, alerting staff of fundraising opportunities, reaching out to donors, participating in phone-athons, etc.
  • Timely and accurate completion of related reports (such as company credit card statement, performance reviews, time cards, etc.).
  • Demonstrates commitment to and active support of C&C’s DEIB program.
  • Travel as necessary (likely no more than 10%, subject to change)
