We’re hiring an Executive Assistant to support Boulevard’s R&D Senior leadership across Engineering, Product, and Infrastructure & Security. This role is designed to provide exceptional administrative leverage through world-class calendar and meeting management, plus travel and expense management, so R&D leaders can stay focused on platform reliability, product delivery, people leadership, and critical business priorities. This role operates in a deep community of partnership with the rest of the Executive Support Operations team. This is an ideal role for a seasoned EA who thrives in a fast-paced, fully remote environment and has strong familiarity with how Engineering and Product teams operate and communicate. Executive Assistants are expected to contribute to our community of practice including meeting other EA’s regularly to share best practices, align on operating norms, and improve how the org runs. The Community of Practice focuses on craft excellence and consistency—things like calendar strategy, travel and offsite planning, meeting hygiene, comms rhythms, and stakeholder management—while also serving as a feedback loop to leadership on what’s working and where the operating system can be simplified.

Requirements

  • 5+ years supporting senior leaders (Sr Director/VP/SVP), ideally in Engineering, Product, Infrastructure/Security, or a related technical org
  • Demonstrated excellence in high-volume calendar management in a fully remote environment (Google Calendar, Slack, Zoom) with high accuracy and strong follow-through
  • Working familiarity with technical vocabulary and how engineering/product teams operate (e.g., incident response, roadmap cycles, launches, retros, hiring loops, etc.)
  • Proven ability to manage event budgets and act as a financial steward of the business
  • Strong written communication and crisp closed-loop execution (acknowledge, ETA, follow-through)
  • Strong project management abilities with deep sense of ownership and the ability to drive decision-making in ambiguity
  • Proven ability to prioritize under pressure and exercise excellent judgment without needing constant direction
  • High bar for professionalism, discretion, and handling confidential information

Responsibilities

  • Calendar, prioritization & meeting management (core)
  • Own complex, high-volume calendars for three senior R&D leaders, treating executive time as a strategic asset by sequencing time around the most important priorities, not just incoming requests. Maintains vigilance around ensuring executive time is carefully oriented towards outcomes-driven meetings only.
  • Schedule and coordinate internal/external meetings across time zones, including cross-functional leadership syncs, technical reviews, hiring interviews, and high-stakes partner/customer conversations.
  • Proactively manage conflicts and tradeoffs by proposing clear options for resolution (e.g., sequencing, delegating, shortening, deferring, or routing to the right attendee when appropriate).
  • Maintain strong meeting hygiene and readiness: clear purpose, right attendees, correct duration, and reliable sequencing that protects focus time.
  • Ensure clean, reliable meeting logistics: accurate titles, agendas/pre-read links, Zoom/room details, attendee lists, and last-mile confirmations.
  • Build a deep understanding of each leader’s OKRs and priorities, and using your business acumen and judgement, ensure that the leaders are spending their time on priorities and allocated areas of work.
  • Travel, expenses, and logistics (core)
  • Coordinate domestic and international travel, itineraries, and logistics with meticulous attention to detail—protecting executive energy and minimizing friction.
  • Support expense reporting to ensure timely reconciliations and reimbursements; track receipts and ensure compliance with policy.
  • Departmental offsite planning
  • End-to-end ownership of the planning and execution of R&D department off-sites
  • Management of departmental event and morale budgets
  • R&D-aware support in a fast-moving environment
  • Operate calmly and effectively during incident periods and other high-pressure moments: rapid re-triage of calendars, clear stakeholder communication support, and maintaining order amid ambiguity.
  • Coordinate closely with Recruiting/TA for interview scheduling and candidate logistics, especially during high-volume hiring and tight turnaround.
  • Partner with key ops stakeholders (e.g., R&D Program Management, People Business Partners, IT/Security, EA/EBP peers) to keep scheduling, logistics, and follow-through aligned, ensuring clean handoffs and seamless coverage.
  • Confidentiality & judgment (always)
  • Handle sensitive information with discretion and excellent judgment (people topics, customer and company security/privacy items, incident details, strategic planning, etc).
  • Become an extension of the leaders you support, anticipating their needs, driving administrative and operational excellence and outcomes, and “seeing around corners” as well as “getting in front of issues before they arise”
