About The Position

As the Executive Support Specialist 2, you will provide high-level administrative support and coordinate highly sensitive and confidential work for the Eastside Institutions Administrator within the Operations Division. In this role, you will represent the Eastside Institutions Administrator and the department when working with state agencies, special interest groups, the legislature, and the public. You will assist in carrying out operational and mission objectives, support strategic initiatives, and coordinate special projects and operational matters. Additionally, you will actively participate in management meetings and be responsible for interpreting and applying DOC, DAS, and union contracts, as well as relevant policies and procedures.

Requirements

  • One (1) year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.
  • A valid driver’s license and a good driving record.
  • You MUST be a current State of Oregon employee (contract workers excluded) to apply.

Responsibilities

  • Provides confidential administrative support while exercising a high degree of discretion, professionalism, and sound judgment.

  • Communicates effectively with internal and external stakeholders, serving as a trusted liaison across agencies and with the public.
  • Resolves conflicts and challenges by analyzing situations, addressing concerns, and implementing appropriate solutions.
  • Coordinates HR-related activities, including recruitments, performance evaluations, and personnel actions for executive and management staff.
  • Leads project and process coordination by overseeing reports, initiatives, and operational workflows to support organizational goals.
  • Balances multiple priorities and deadlines, managing time efficiently to support executive and operational objectives.
  • Maintains a high level of accuracy and attention to detail in preparing reports, documentation, and administrative processes.
