Role Summary The Facilities & Workplace Coordinator supports the operational oversight of the company’s office locations. This role serves as the primary internal liaison with third-party property management companies and facility-related vendors to ensure safe, organized, and well-maintained workplace environments. The position focuses on vendor coordination, facilities oversight, and workplace support, while also assisting with general office coordination responsibilities as needed. This role offers growth potential into expanded property and vendor management responsibility as the company continues to grow. This is an Onsite role M-F 9am-6pm.

Requirements

  • Bachelor’s degree required. Degree in Facilities Management, Business Administration, Engineering, or related field preferred.
  • Experience in facilities coordination, property management, workplace operations, or commercial office environments preferred.
  • Experience working with third-party property management companies strongly preferred.
  • Familiarity with general facility maintenance processes and workplace safety standards is a plus.
  • Strong vendor coordination and follow-through skills.
  • Organized, detail-oriented, and proactive.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities across locations.
  • Basic understanding of building systems or construction terminology is helpful.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Reliable and highly responsible.
  • Team-oriented and collaborative.
  • Quick learner with ability to grow into expanded oversight responsibilities.
  • Professional and solution-oriented.

Responsibilities

  • Coordinate with property management companies and landlords to ensure timely resolution of facility-related matters.
  • Serve as point of contact for vendors supporting maintenance, cleaning, landscaping, security, and other facility services.
  • Track, document, and follow up on service requests and vendor performance.
  • Monitor vendor quality and escalate concerns when appropriate.
  • Support office space planning and layout coordination.
  • Assist with minor office improvement coordination as needed.
  • Provide general office coordination support and assist with coverage when other team members are out of the office.
  • Maintain facilities-related documentation, repair logs, and vendor records.
  • Support day-to-day workplace functionality and organization.
  • Assist with communication related to facility updates and service schedules.
  • Perform minor maintenance and basic workspace setup tasks as needed.
  • Conduct basic troubleshooting before coordinating vendor service.
  • Ability to lift up to 50 lbs when required for equipment or furniture movement.
