About The Position

The Facilities Lead helps ensure Prospera Credit Union's branches and offices remain safe, functional, and welcoming for members and team members. This role serves as the central point of coordination for facility maintenance, vendor relationships, and repair requests across multiple locations. Working closely with Branch Managers and external partners, the coordinator helps resolve issues quickly and maintain efficient building operations. Their work allows our teams to stay focused on delivering the personal guidance that helps members prosper.

Requirements

  • 3-5 years of experience in facilities coordination, property management, maintenance coordination, or a similar operational role
  • Ability to perform physical tasks associated with light facility work, including lifting or moving items up to 50 pounds, bending, reaching, and occasional ladder use while performing minor repairs or facility support tasks
  • Ability to ensure a safe, compliant working environment and consistently demonstrate the safe and effective use of hand tools, portable power tools, and equipment needed in building maintenance and repair work
  • Maintain working knowledge of occupational hazards and safety precautions related to maintenance work
  • Strong organizational and problem-solving skills
  • Ability to coordinate multiple vendors, projects, and service requests
  • Basic mechanical aptitude for light facility troubleshooting
  • Strong communication skills to work with branch teams and external vendors
  • Ability to prioritize issues and respond to urgent facility needs
  • Comfortable using tracking systems and maintaining documentation
  • Valid driver's license and ability to travel between branch locations

Responsibilities

  • Coordinate Facilities Operations (40%): Serve as the central point of contact for facilities needs across six branch locations and the corporate office.
  • Receive and manage facility repair requests from branches.
  • Triage issues and determine appropriate resolution (in-house fix, vendor coordination, or facilities management partner)
  • Track requests from submission through completion
  • Coordinate vendor scheduling and site access with Branch Managers
  • Ensure repairs are completed and verify work quality
  • Vendor & Facilities Partner Coordination (25%): Maintain strong relationships with vendors and our facilities management partner to ensure reliable service and cost control.
  • Coordinate work orders with the building management firm and outside vendors
  • Maintain vendor contact lists, insurance documentation, and service records
  • Assist with vendor follow-ups and scheduling
  • Support competitive bid processes coordinated through the facilities management partner
  • Preventative Maintenance & Facility Oversight (15%): Help ensure our buildings remain safe, compliant, and well maintained.
  • Monitor preventive maintenance schedules
  • Assist with facility walkthroughs and minor inspections
  • Support testing and documentation for facility-related systems
  • Identify potential maintenance issues before they become major repairs
  • Minor Repairs & On-Site Support (10%): Provide light maintenance support where appropriate to improve response time and reduce vendor costs.
  • Examples may include replacing bulbs or air filters, minor furniture adjustments or moves, signage fixes, basic troubleshooting before vendor arrival, etc.
  • Facilities Administration & Reporting (10%)
  • Validate facility invoices before submission for payment
  • Maintain facilities documentation and tracking tools
  • Provide regular updates on faculty issues and repairs
  • Support courier routing one scheduled day per week and provide backup coverage when needed
