About The Position

Direct and coordinate capital and facilities projects and the activities of contractors and professional service companies engaged in construction, repair, maintenance, remodeling, or other initiatives across all sites. This position is responsible for overall management of capital projects, responsible for all phases of the project including, but not limited to, managing subcontractors, owner relations, quality control, safety, schedule, and executing to the project budget.

Requirements

• BA/BS in construction management, project management, or related field or equivalent combination of technical training, experience in construction, design, or project management
• Seven years of project management experience, with at least three years of people supervision
• Experience with change management
• Ability to translate standards, operational concepts, and report results to staff
• Read, analyze, and interpret documents, contracts, technical procedures, and regulations
• Experience handling daily operations and timely, effective decision-making
• Experience in managing planning and decision-making processes
• Excellent planning, financial management, and organizational skills
• Ability to understand drawings and specifications, general contractor and subcontractor documents, materials, means and methods
• Successfully assess priorities and work well with deadlines, time management, problem solving, and analytical skills
• Strong track record in exercising sound, timely judgment
• Establish and maintain effective working relationships with internal and external parties
• Proactive, strategic, and professional verbal and written communication, with an ability to tailor communications according to audience
• Strong supervisory skills; ability to motivate teams and simultaneously manage several projects
• Exercise discretion in maintaining confidentiality of sensitive information
• Proficiency in Microsoft Office Suite, Zoom, Asana, Slack and internet-based research
• Ability to pass and maintain security background check clearance

Responsibilities

• Partner with the Director of Facilities on all projects
• Plan, direct, and coordinate all activities for projects assigned to ensure objectives are accomplished safely, within prescribed funding, and scheduling parameters
• Help define project goals, requirements, scope, and deliverables
• Determine tasks and resources needed to reach project objectives
• Establish and execute project work plans
• Oversee or participate in RFP processes as designated
• Oversee vendor management process, including selection process, onboarding, performance management, risk mitigation, and invoicing
• Identify project risks and develop mitigation plans
• Oversee all aspects of the project, scope, schedule, budget, safety, and quality of work, creating timelines and schedules as appropriate
• Track and creatively resolve challenges related to the project, implementing and managing changes as necessary to meet project deliverables
• Maintain all project documentation including budget, schedule, and close out documentation
• Coordinate project-related warranty work
• Develop and execute project communication plans
• Work with a variety of stakeholders to track project deliverables
• Maintain open communication channels with vendors, internal parties, and other stake holders
• Coordinate contracting process serving as primary liaison with internal and external counsel and vendor counsel
• Schedule meetings with contractors and stakeholders, take and/or distribute notes as needed
• Serve as museum representative at project meetings
• Work with colleagues to make effective business decisions to achieve target goals, tailor messaging, and maximize efficacy
• Supervise work performed to ensure it meets museum standards and quality plan
• Partner with Director of Security to ensure on-site compliance with security project procedures
• Review drawings and specifications with internal stakeholders for constructability, completeness, and accuracy
• Coordinate on shared, overlapped, and impactful facilities projects supporting departmental and organization-wide initiatives
• Evaluate and assess project results, document all learnings, and follow up items
• Support operating projects as assigned
• Support the execution of the annual capital budget, including five-year projections, monitoring expenditures, making necessary adjustments, processing invoices, and ensuring alignment with project goals and financial constraints
• Participate in grant submissions, maintaining the required parameters of approved funds
• Participate in annual operating budget development processes as requested
• Support energy compliance initiatives
• Serve as a member of the Safety Committee, supporting the Chair of the Committee
• Execute initiatives to create and promote safer workplace safety environment for staff
• Contribute to an institutional focus of delivering exceptional, welcoming, and inclusive customer service—creating positive, meaningful experiences for all visitors, every time
• Participate in institutional learning opportunities to grow our collective understanding and integration of antiracism, cultural competency, and equity values into SAM’s work
