The Georgia World Congress Center Authority (GWCCA) Campus Operations function is responsible for delivering safe, efficient, and exceptional facility operations that support world-class events and guest experiences. Through strong operational oversight, vendor partnerships, and team leadership, Campus Operations ensures the Authority’s facilities are prepared to support events at the highest standards of quality, safety, cleanliness, and operational readiness. Facility Management Coordinator Position Summary The Facility Management Coordinator provides administrative coordination and operational support to the Facility Management team at the Georgia World Congress Center Authority (GWCCA). Reporting to the Campus Operations Manager, this role supports the efficient operation of facility maintenance activities by coordinating service requests, maintaining departmental records, preparing reports, and assisting with day-to-day administrative functions. The coordinator serves as a key point of support for departmental communication, reporting, and internal logistics. This position also assists with departmental logistics such as supply management, uniform distribution, invoice processing, documentation related to event operations and facility readiness. The ideal candidate is highly organized, detail-oriented, and committed to delivering excellent internal customer service and shares the Authority’s values of authenticity, accountability, and teamwork while performing the essential duties and responsibilities of this position. Candidates under final consideration will be required to undergo a criminal history evaluation and drug screening prior to employment.

Requirements

  • High school diploma or General Education Degree (GED) required; associate’s degree in business administration, facilities management, or a related field preferred.
  • Minimum of three (3) years of experience in an administrative, operational support, facilities, or related role.
  • Experience supporting departmental operations, coordinating administrative processes, or maintaining records and reports within a complex organization preferred.

Responsibilities

  • Under the direction of the Campus Operations Manager, provide administrative coordination and support to the Facility Management team to ensure facilities are maintained and operated efficiently.
  • Support facility managers in ensuring consistent onboarding processes within the department.
  • Coordinate interview schedules with hiring managers.
  • Coordinate required training enrollment and departmental orientation schedules.
  • Receive, log, and route maintenance service requests and work orders.
  • Collect data and compile reports related to maintenance work orders and Campus Operations Hotline activity.
  • Generate reports and dashboards reflecting work order status, aging, and maintenance activity as requested by management.
  • Provide backup support for Campus Operations Hotline functions in the absence of Hotline staff.
  • Prepare documents, reports, presentations, and correspondence using various software systems and office technology.
  • Assist Facility Management team members with submitting and tracking IT Service Desk tickets when necessary.
  • Manage department uniform distribution and inventory for team members.
  • Initiate and enter purchasing requisitions in procurement system, track approval workflows, and coordinate with purchasing and/or vendors to ensure timely order fulfillment, accurate documentation, and completion of purchases in accordance with established procurement procedures.
  • Order, track, and maintain asset inventory of departmental supplies and materials.
  • Maintain organized records, files, and documentation in accordance with departmental procedures.
  • Support departmental productivity by coordinating administrative activities and assisting supervisors and managers as needed.
  • Coordinate administrative communication between Facility Management teams and other campus departments to support event readiness.
  • Participate in departmental meetings and Georgia World Congress Center Authority training programs as required.
  • Maintain a professional image that reflects the philosophy of the Georgia World Congress Center Authority, with a strong emphasis on providing exceptional customer service.
  • Perform additional duties, special projects, and responsibilities as assigned.
