About The Position

The Facility Manager provides strategic and operational leadership for all aspects of the Meadowglade property, support services, and environmental safety. This role oversees the GSS Supervisor, Chefs, Housekeeper, and Janitor, ensuring that operations, physical spaces, and client services meet organizational standards, and programmatic goals. The Facilities Manager plays a strategic and hands-on role, balancing day-to-day facilities operations with supervisory responsibility over GSS Supervisor and support staff to ensure cohesive operations, effective staff coordination, and a high-quality client experience. This position requires strong organizational skills, sound judgment, the ability to manage multiple priorities, and consistent collaboration with executive, clinical, and program leadership.

Requirements

  • High school diploma or equivalent; Bachelor’s degree preferred.
  • Minimum of three to five (3-5) years or more of operations, facilities or property management experience.
  • Prior experience supervising or overseeing management-level staff required.
  • Excellent verbal and written communication skills with clients, families, staff, and external stakeholders.
  • Strong organizational, time management, and documentation skills with the ability to manage competing priorities in a fast-paced, client centered environment.
  • Valid driver’s license, current auto insurance, and clean DMV record required.
  • Group Home Administrator Certification required (pre-hire or within 6 months of position assignment.

Nice To Haves

  • Experience in a Residential Mental Health setting strongly preferred.

Responsibilities

  • Establish and enforce facility standards to ensure the property remains safe, compliant, and “hotel-ready” at all times.
  • Conduct regular property walks (minimum 3 times per week) to identify maintenance issues, safety concerns, or environmental risks.
  • Schedule and oversee routine and preventative maintenance (e.g., gutters, carpet cleaning, drain hydro-flushing, inspections).
  • Supervise external vendors, independent contractors, and service providers; ensure work quality and documentation (including photos).
  • Review, approve, and submit vendor invoices after verifying services rendered.
  • Provide direct supervision of the Guest Services Specialist (GSS) Supervisor for the main house.
  • Partner with the Program Director, Program Manager and GSS Supervisor to ensure smooth alignment between facilities, programming, guest services, and client needs.
  • Support the Program Director and GSS Supervisor in addressing operational concerns related to safety, environment, logistics, and service delivery.
  • Identify and bring significant program, service, or compliance issues to the Executive Director as appropriate.
  • Ensure all office, residential, and operational supplies are adequately stocked and purchased from cost-effective, high-quality sources.
  • Oversee petty cash management related to outings and operational needs, in collaboration with residential leadership.
  • Coordinate logistics for outings at both houses, transportation needs, and scheduled deliveries.
  • Manage house-related bills and utilities (gas, electric, water, sewer, trash, internet, cable, etc.) to ensure uninterrupted service.
  • Oversee mail processing and respond to time-sensitive correspondence.
  • Coordinate with accounting for accounts payable, invoice approvals, and billing support when applicable.
  • Conduct or coordinate tours for prospective clients, families, and business development partners.
  • Maintain clear and consistent communication with the Executive Director, Clinical Director, and Program leadership.
  • Serve as the primary liaison between facilities operations and program leadership, maintaining consistent communication with Executive, Clinical, and Program Directors.
  • Be available to respond to facility-related emergencies as needed.
  • Provides direct supervision and performance oversight for the GSS Supervisor, Chefs, Housekeeper, and Janitor, ensuring alignment with facility standards and program expectations.
  • Assists in the hiring, interviewing, selection, onboarding and training process of new staff members.
  • Ensures that all subordinate staff members adhere to training requirements, breaks, meal periods and accurately reporting time.
  • Manages the training programs for subordinate staff as well as ensuring that all performance reviews, improvement plans, goals, etc. are completed timely.
  • ENSURE COMPLIANCE WITH DRIVING AND VEHICLE SAFETY STANDARDS.
