Field Office Coordinator Full Time | Construction Jobsite Based Supporting large-scale multifamily and mixed-use construction projects in Southern California Hourly Range: $33.00-$45.00 per hour Milender White is an innovator in construction, delivering outstanding projects based on proven systems and advanced technology. We are seeking a Field Office Coordinator to support the onsite project team by managing jobsite administrative operations, coordinating project documentation, and ensuring the jobsite office runs smoothly and professionally. This role works closely with Project Managers, General Superintendents, subcontractors, vendors, visitors, Executives, Accounting Department, HR, and Ownership Representatives and is primarily based in the construction jobsite trailer . This is an hourly nonexempt position .

Requirements

  • Prior experience supporting construction pay applications, billing and/or the draw processes is required
  • Experience working in a construction administration or project administration role
  • Strong organizational skills with the ability to manage multiple deadlines
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Detail-oriented with strong follow-through
  • High School Diploma required
  • Reliable transportation

Nice To Haves

  • Experience using Procore construction management software
  • Experience using Textura payment management system
  • Familiarity with subcontractor compliance tracking and documentation
  • Experience performing basic accounting and financial support tasks

Responsibilities

  • Provide day-to-day administrative support to project managers and field leadership.
  • Coordinate project calendars, meetings, jobsite visits, and internal events.
  • Assist with preparation and submission of project pay applications and draw documentation.
  • Track subcontractor compliance items including insurance certificates, lien waivers, and required payment documentation.
  • Follow up with subcontractors regarding required project paperwork including startup documents, monthly compliance items, and closeout documentation.
  • Create purchase orders at the direction of project managers and assist with processing to support subcontractor and vendor payments.
  • Assist with collecting draw backup from subcontractors including invoices, bills of sale for stored materials, and other supporting documentation.
  • Support the project team in organizing project closeout documentation to assist with final payment and project completion.
  • Prepare project correspondence, reports, meeting minutes, and administrative documentation.
  • Maintain visitor logs and ensure a professional and welcoming experience for jobsite guests.
  • Maintain the project office and conference spaces to ensure a clean, organized, and professional work environment.
  • Manage office supplies and jobsite administrative materials.
  • Support a positive office culture and assist with coordinating occasional project team events.
