About The Position

The Field Payroll Administrative Assistant is responsible for providing administrative and payroll support to the field operations and assigned departments. This position supports all levels of staff by coordinating field timekeeping, assisting with payroll documentation, and serving as a key point of contact between field crews, supervisors, and payroll personnel.

Requirements

  • Associate degree in Business Administration or related discipline
  • Minimum 2 years’ experience in office administrative work
  • Can be a combination of education, training, and relevant experience
  • Computer, filing, and 10-key skills required attention to detail is necessary; strong analytical skills favored
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Oracle preferred
  • Prioritize and manage multiple tasks, changing priorities as necessary
  • Work under pressure and adapt to changing requirements with a positive attitude
  • Oral and written communication skills as required for the position
  • Self-motivated, proactive and an effective team player
  • Interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

Responsibilities

  • Serve as a liaison between field staff (foremen, superintendents), payroll, project management, and accounting regarding timekeeping and payroll-related matters.
  • Collect, review, and process field timecards for accuracy, completeness, and compliance with company policies, union agreements, and applicable labor regulations.
  • Assist with payroll preparation by verifying hours worked, job codes, overtime, classifications, and per diem or travel allowances as applicable.
  • Support certified payroll and prevailing wage reporting, when required, ensuring timely and accurate submission of documentation.
  • Respond promptly and professionally to payroll and timekeeping inquiries from field employees and management.
  • Maintain accurate payroll and timekeeping records, including filing and data entry into payroll or project management systems.
  • Track and report labor hours by job and cost code to support job cost tracking and project reporting.
  • Coordinate corrections, adjustments, and follow‑ups related to payroll discrepancies.
  • Maintain confidentiality of payroll and employee information at all times.
  • Provide general administrative support related to field operations as assigned.
  • Prepare and distribute payroll-related communications, forms, and reports.
  • Maintain organized electronic and paper files related to payroll, job sites, and labor documentation.
  • Assist with onboarding documentation related to field payroll requirements, as directed.
  • Support department operations through data entry, document control, and record retention.
