THIS ROLE: Support the Marine Transportation and Engineering teams by managing vessel documentation in HelmCONNECT, SharePoint/Teams, and ShipNet; assisting with the planning and documentation of major repair projects (drydocks and dockside repairs); and assisting with compliance activities such as Commercial Harbor Craft reporting and opacity testing. Deliver accurate records, clear procedures, and timely administrative support to ensure regulatory and project readiness. The Fleet Engineering Administrator is a marine engineering administrator/analyst position that reports to the Manager of Fleet Engineering within the Fleet Engineering department. This position works primarily in-office at Curtin Maritime’s Long Beach headquarters, with work-from-home flexibility allowed depending on work assignments. Intermittent travel for short periods to attend major repair periods is expected.

Requirements

  • Education: Bachelor’s degree in an Engineering field or equivalent experience preferred.
  • Background: Applicants should have a strong engineering background; marine engineering experience preferred.
  • Technical: Proficient with Windows, Microsoft Office (Word, Excel, Teams, SharePoint); familiarity with HelmCONNECT, PowerBI, and ShipNet a plus.
  • Communication: Strong written and verbal communication; able to produce clear documentation and SOPs.
  • Organizational: Highly organized, detail oriented, able to manage multiple priorities and large document sets.
  • Problem Solving: Self-starter with good judgment, follow-through, and the ability to work independently and in a team.
  • Process Oriented: Able to analyze existing work flows to create efficient and innovative processes.
  • Comfortable working on or near water and able to transit vessels at dock and underway.
  • Must be physically able to climb ladders, traverse manholes, and perform confined space entry as necessary.
  • Must be able to travel on short notice and maintain regular attendance at the Long Beach office.
  • Clean driving record (5+ years) and TWIC card required or obtainable.

Nice To Haves

  • Merchant Mariner Credential or maritime industry experience preferred.

Responsibilities

  • Document Management
  • Maintain and organize engineering and regulatory records in HelmCONNECT, Microsoft Teams, and ShipNet; ensure documents are current, searchable, and properly linked to vessels.
  • Regulatory Compliance
  • Track, store, and prepare regulatory documents and test results (Commercial Harbor Craft, Class Society, US Coast Guard) for submission and audits.
  • Project Coordination
  • Support major repair project planning by compiling scopes, comparing bids, tracking budgets, and organizing project documentation.
  • Quality Assurance
  • Assist with shipyard audits, vendor qualification checks, and verification of third-party contract compliance during shipyard projects.
  • System Support
  • Enter and update data in HelmCONNECT, SharePoint, Power BI, and ShipNet; help build maintenance programs using OEM manuals and technical references.
  • Procedures and SOPs
  • Observe operations and produce concise Standard Operating Procedures for both generic and vessel-specific tasks.
  • Schedule and track drydock, internal structural exam, load line due dates, and other regulatory checkpoints in HelmCONNECT.
  • Organize and disseminate drydock documentation and repair plans.
  • Compile technical manuals and OEM references to populate maintenance programs.
  • Support predictive maintenance efforts (oil analysis, lubrication charts, reliability data).
  • Respond to compliance and administrative requests from Marine Operations team.
  • Provide clear, timely data entry and reporting to support decision-making.
  • Perform Fleet Engineering support functions, such as opacity testing or LiDAR scanning.
