Department Overview The Office Services department is dedicated to supporting all employees while efficiently managing over 45 offices. This achievement is made possible with the valuable assistance of our dedicated Office Services Staff and Office Leads. The scope of Office Services encompasses lease management, construction, operations & maintenance, security access, document retention, and daily systems maintenance. This ensures that our offices function at their best and provide a collaborative environment to promote a positive employee experience in the workplace. The Impact You Will Have The Office Services Coordinator plays a vital role in ensuring the smooth and efficient operation of the Bethesda Corporate Headquarters. This position supports the Office Services department with a strong commitment to excellence, professionalism, and customer service. Serving as the front desk manager, administrative support partner, and collaborator on special projects, the coordinator helps maintain a welcoming, organized, and productive work environment. This role also provides backup support to the Bethesda Office Manager as needed.

Requirements

  • High school diploma or equivalent (GED).
  • Minimum of 2 years of relevant administrative or office coordination experience, or an equivalent combination of education and experience.
  • Strong customer service orientation with a professional and approachable demeanor.
  • Exceptional organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • High degree of discretion and confidentiality.
  • Self-motivated team player with strong initiative and problem-solving skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe
  • Ability to lift up to 30lbs as needed.

Responsibilities

  • Serve as the primary point of contact for visitors, clients, and vendors, ensuring a professional and positive first impression.
  • Manage incoming calls, messages, and inquiries with discretion and efficiency.
  • Support the daily operations and maintenance of the Bethesda office in coordination.
  • Draft and distribute all-office communications regarding events, updates, and property notices.
  • Maintain visitor logs, issue badges, and submit work orders through the management portal.
  • Maintain and update the Front Desk Coordinator manual on a quarterly basis.
  • Serve as backup liaison with Property Management for building issues, repairs, and emergency situations.
  • Oversee disaster and emergency preparedness efforts, coordinating communications, hosting biannual meeting with floor warden, evacuation procedures, and floor warden activities in coordination with the Office Manager.
  • Manage employee parking passes and visitor parking validations in partnership with Property Management.
  • Participate in Office Lead and Office Management Division meetings.
  • Assist with conference room scheduling, meeting setup, catering coordination, Penthouse reservations, and managing fitness room access.
  • Coordinate international and domestic FedEx shipping and mailing needs for the Bethesda office and resolve related inquiries.
  • Manage and respond to Office Event Support Survey requests for the Bethesda office, ensuring timely coordination of catering and event support needs.
  • Assign new hires Kastle badges and handle any Bethesda Kastle issues.
  • Ensure compliance with corporate practices and policies across the Bethesda office.
  • Order, maintain, and stock snack supplies while ensuring inventory accuracy, budget compliance, and timely replenishment.
  • Schedule and manage vendor maintenance services (etc. ice machine, quarterly cleanings, equipment repairs).
  • Utilize Asana to track and manage the office event calendar.
  • Coordinate with the Office Manager on the dates, time and location of the office events.
  • Process expense reports and invoices on behalf of the Bethesda Office Manager.
  • Manage Staples office supply orders and requests for remote employees in compliance with the company’s remote office supply policy.
  • Assist with office event planning, coordination, and execution for Bethesda office social events
  • Attend Property Management hosted meetings as required.
  • Support special projects in collaboration with department colleagues.
  • Serve as backup for the Bethesda Office Manager and provide coverage for Office Services and Human Resources when needed.
  • Assist Bethesda Office Manager as needed.
  • Remain flexible to accommodate early arrivals, late departures, and special events as required.
  • Perform additional duties and projects assigned.
