About The Position

We are seeking a friendly, professional, and highly organized Front Desk Receptionist to be the first point of contact for clients and visitors at our clinic. This position is critical in setting the tone for a warm and welcoming experience while also ensuring smooth front-office operations. The ideal candidate is someone who thrives in a fast-paced environment, demonstrates exceptional customer service, and maintains a proactive approach to clinic supply management and client support.

Requirements

  • Fluent with Microsoft Office Suite including Excel, Teams and Copilot
  • Prior experience in a receptionist or front office role, preferably in a healthcare or ABA clinic setting.
  • Strong customer service and interpersonal communication skills.
  • Comfortable with Microsoft Office Suite (especially Outlook and Excel), and able to learn new systems quickly.
  • Excellent organization and time management skills with strong attention to detail.
  • Ability to work independently, prioritize tasks, and respond quickly to changing needs.

Responsibilities

  • Greet clients and visitors in a warm and professional manner, ensuring a positive and welcoming first impression.
  • Check clients in and out for sessions, confirming attendance and updating records in our system.
  • Maintain an organized and clean front office area, ensuring it reflects the professionalism and care of CCBS.
  • Monitor, order, and restock clinic supplies to support daily operations and staff needs.
  • Answer incoming calls, direct inquiries appropriately, and respond to voicemails and emails in a timely manner.
  • Act as a liaison between the company and external parties, such as insurance providers and clients, handling inquiries, records requests, and follow-ups in a professional and timely manner.
  • Oversee processes related to staff certifications, client reviews, and funding source requirements, proactively managing communication and follow-through to support company goals.
  • Collaborate with the administrative teams to handle requests and queries from senior managers
  • Support administrative and clinical teams with light clerical tasks and other duties as assigned.
  • Other duties as assigned.
