SUMMARY The Front Desk Assistant is the initial point of contact for many visitors, people served, stakeholders, and employees of PDI and is responsible for many diverse tasks that contribute to PDI’s smooth operation. The Front Desk Assistant must have a friendly, engaging personality and take the initiative to gain knowledge of PDI events, programs, and employees. This position will be responsible for various tasks and projects. Customer-oriented and service-driven. Must focus on client needs and be passionate about exceptional service.

Requirements

  • You must be age 21 or over to work at PDI.
  • You must also pass a pre-hire drug and background screen as well as random drug screens that may occur at any time and without notice while employed by PDI.
  • You must be computer-literate, comfortable with technology with well-developed oral and written communication skills.
  • You must be able to complete and pass First Aid, CPR, and other required training.
  • If the position requires you to drive a PDI vehicle on company business then you must possess a valid driver’s license and agree to a review of your motor vehicle record for addition to PDI’s authorized drivers list.
  • In addition, if the position authorizes you to drive your vehicle on PDI business then you must provide proof of automobile insurance and proof of required automobile insurance limits.
  • Associate’s Degree (“A.A.”) or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • To perform this job successfully, an employee must know Microsoft Office and Microsoft Publisher software, Microsoft Outlook, and be able to gain knowledge of various vendor software solutions.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Responsibilities

  • Communication: Interact with people served, customers, vendors, employees, and stakeholders to provide accurate information and answer questions.
  • Visitor Management: Greet visitors, maintain visitor logs, and direct them to appropriate locations.
  • Office Administration: Open and close the office, sort and route incoming mail, handle office supplies, and operate office equipment (e.g., copiers, faxes, phones, and computers).
  • Record Keeping: Maintain accurate records and emails related to people served and employees; compile, copy, sort, and file documents as needed by HR.
  • Correspondence Management: Screen and route calls, voicemails, emails, and other communications; manage outgoing mail and apply postage.
  • Support HR and Admin: Assist HR with coordinating CPR, first aid, and QMAP classes, and support administrative and HR tasks.
  • Security: Monitor security cameras for safety, and manage volunteer logs and processes.
  • Additional Tasks: Support vehicle management, prepare keys and forms, check emails, and distribute pay stubs. Maintain all spreadsheets for checks, donations, and QMAP classes.
  • General Support: Perform various tasks as assigned by HR, community staff, or supervisors.
