About The Position

The Front Office Representative performs a variety of administrative and customer service duties to support daily clinic operations. This role is responsible for managing patient interactions at the front desk, scheduling appointments, answering phones, and ensuring a smooth patient flow throughout the clinic. The Front Office Representative serves as the first point of contact for patients and must provide a professional, welcoming, and efficient experience while maintaining accuracy and confidentiality. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced healthcare environment.

Requirements

  • High School Diploma or GED preferred
  • 1 year of scheduling, front office, call center, or customer service experience in a healthcare setting preferred
  • Excellent verbal and written communication skills
  • Knowledge of medical terminology preferred
  • Strong attention to detail and organizational skills
  • Ability to handle confidential and sensitive information appropriately
  • Ability to multitask and work effectively in a fast-paced environment
  • High level of proficiency with PC-based software and electronic medical record systems

Nice To Haves

  • Medical Assistant training or certification preferred but not required

Responsibilities

  • Schedule patient appointments including consultations, follow-up visits, testing, and procedures
  • Answer a high volume of incoming phone calls and direct callers appropriately based on patient needs or requests
  • Make outbound calls to patients regarding appointment scheduling, reminders, and provider requests
  • Work recall lists and contact patients to schedule follow-up or future appointments as directed by providers
  • Verify patient demographic and primary care provider information during scheduling and update records as necessary
  • Greet and check in patients upon arrival in a professional and courteous manner
  • Verify insurance information, identification, and required documentation at check-in
  • Collect required patient forms, copays, and outstanding balances when applicable
  • Ensure all required consent forms are completed and signed prior to scheduling procedures or services
  • Maintain patient flow by coordinating with clinical staff regarding patient arrival and wait times
  • Schedule follow-up appointments at the time of check-out based on provider instructions
  • Provide patients with visit summaries, referrals, or additional instructions as needed
  • Process payments and ensure accurate documentation of patient accounts
  • Regularly work the Registration/Scheduling work queues and assigned task buckets
  • Maintain accurate and up-to-date patient records in the electronic medical record system
  • Assist with scanning, filing, and organizing patient documentation as required
  • Communicate effectively with providers, clinical staff, and other departments to support clinic workflow
  • Maintain patient confidentiality and comply with HIPAA guidelines
  • Assist with general front office coverage including phones, scheduling, check-in, and check-out as needed
  • Provide front office support at other Phoenix Heart clinic locations as needed for patient check-in and check-out coverage based on operational needs
  • Perform any other duties assigned based on departmental or practice needs
