This position plays a key role in creating a welcoming, professional, and efficient environment for employees and guests. This position provides front office coverage while delivering essential administrative support to the Human Resources function. The role requires strong communication skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast‑paced setting. Requirements

  • Strong preference for previous experience in office administration and Human Resources administration.
  • Proficiency with standard Microsoft office software, required.
  • Strong interpersonal and communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities effectively.

Responsibilities

  • Serve as the first point of contact for visitors, employees, and callers.
  • Answer and route incoming phone calls promptly and professionally, manage incoming and outgoing mail. Maintain office supplies inventory.
  • Greet and assist guests, ensuring a positive and professional experience. Coordinate lunch ordering as needed.
  • Maintain the front office area, ensuring it is organized and welcoming.
  • Provide administrative support to the Human Resources Director.
  • Assist with the hiring process, including posting job openings, scheduling interviews, and communicating with candidates.
  • Support onboarding activities such as preparing new‑hire paperwork, pre-employment screenings, coordinating orientation schedules, and ensuring required documentation is completed.
  • Maintain accurate and confidential employee records in accordance with company policies and legal requirements.
  • Assist with coordinating employee engagement activities, recognition programs, and company events.
  • Monitor and support compliance with local, state, and federal employment laws and internal policies.
  • Respond to general employee questions and direct inquiries to the appropriate team member when needed.
  • Escalate sensitive or complex issues to the Human Resources Director promptly and appropriately.
  • Handle all employee information with strict confidentiality and professionalism.
  • Ensure adherence to organizational policies, HR best practices, and regulatory requirements.
